The LCB is embarking on a groundbreaking modernization project to enhance its technological infrastructure and is seeking an Administrative Assistant IV to assist in this modernization effort. The LCB is a nonpartisan, legislative service agency that provides professional, technical and administrative support to the Nevada Legislature, which convenes biennially in odd-numbered years for 120-day sessions and for rare special sessions during the interim periods. The ITS Unit provides technical support to legislators, legislative staff and the LCB. This is a full-time position located in Carson City, Nevada. Position Description: Under the general supervision of the Chief Information Officer, the Administrative Assistant IV will perform a broad range of secretarial and administrative support duties. This position involves working within a highly professional environment and regularly interacting with legislators, LCB staff, legislative staff, business partners and members of the public who visit the Legislative Building. Responsibilities of the Administrative Assistant IV may include, without limitation: · Providing clerical support to ITS staff, including photocopying, sorting, collecting and transferring materials, traveling between buildings and distributing and maintaining handouts and meeting materials;· Assisting with team communications and coordination via telephone, texting, Teams and Outlook;· Maintaining ITS Unit calendars and channels in Teams, including setting meetings and appointments with internal and external users;· Preparing documents and materials such as memoranda, correspondence, processes and procedures and other documents necessary for the operation of the ITS Unit;· Reviewing, updating and printing timesheets for ITS Unit staff during each bi-weekly pay period;· Facilitating the procurement, receipt, maintenance and tracking of hardware and software assets;· Assisting in the processing of requisitions, purchase orders and financial transactions, and providing detailed reporting and tracking;· Assisting in the recruitment process by organizing recruitment materials, contacting candidates and scheduling interviews;· Communicating and coordinating with vendors and others regarding technical and administrative aspects of projects or purchases;· Scheduling of ITS-related events, LCB trainings and other LCB events;· Preparing and setting up nameplates and meeting supplies for ITS staff and vendors;· Attending ITS Unit project meetings, taking notes and minutes and actively engaging in the meetings;· Coordinating and managing lunch and beverage services for ITS Unit staff;· Responding to various requests from ITS staff, LCB staff, legislators and legislative staff;· Researching, compiling and providing informational charts, graphs and reports to the ITS Unit leadership team;· Providing effective backup and support to fellow team members within the ITS Unit, including front desk duties, clerical services and other related functions; and· Performing other duties as assigned. Minimum Qualifications: The Administrative Assistant IV will be selected with special preference given to the candidate’s training, experience and aptitude in the fields of administrative and clerical support. A qualified candidate must have: (1) a high school diploma/GED; (2) at least four years of progressively responsible, relevant experience providing administrative support to professional staff; or (3) an equivalent combination of education and experience. Prior experience providing support to executive management and/or agency leadership is preferred. The ideal candidate will demonstrate: · Expertise in delivering exceptional customer service to end users from diverse backgrounds and skill levels;· Proficiency in the day-to-day use and operation of Office365 suite, including Word, Excel, PowerPoint and Outlook.· Proficiency with the general operation of common office equipment such as scanners, multi-function copiers, telephones and printers;· Familiarity with government accounting practices and the processing of payroll, requisitions and purchase orders;· Experience using Enterprise Resource Planning (ERP) systems to process timekeeping and financial transactions.· Strong organizational, critical thinking and problem-solving skills;· The ability to plan and prioritize tasks with an exceptional attention to detail;· The ability to work both independently and with a team;· A thorough understanding of confidentiality in handling documents and communications;· The ability to thrive in a professional environment alongside legislators and staff of the LCB, legislature and other state agencies;· The capacity to cultivate and sustain effective working relationships;· Proficiency in computer applications (databases) and spreadsheets for tracking and organizing records;· A high level of professionalism, particularly when facing deadlines and during critical projects;· Punctuality, dependability and self-motivation;· The ability to frequently lift and move small to medium items weighing up to 30 pounds, while employing proper safety techniques; and· The capability to perform tasks such as walking, standing or sitting for extended periods, crouching, gripping, holding, pushing, pulling, bending and reaching above the head. Salary: The annual salary for this position is based upon a Grade 31, which has a salary range of $54,434 to $80,053 under the employee/employer-paid retirement option. An employer-paid contribution plan is also available with a reduced salary in lieu of an employee contribution. Actual starting salary will be based on experience.
