We are seeking an experienced and highly organized Office Manager to oversee the daily operations of our Internal Medicine practice. The ideal candidate is highly professional with strong leadership skills, excellent communication abilities, and a deep understanding of healthcare administrative processes to ensure a seamless patient experience. Reports to physician directly.
Key Responsibilities :
Office Administration :
Oversee daily administrative operations, including patient scheduling, billing, and coding.
Ensure the office runs smoothly, maintaining an efficient workflow.
Staff Management :
Recruit, train, and supervise front office staff.
Schedule employee shifts and evaluate staff performance.
Patient Relations :
Serve as the primary point of contact for patients, addressing inquiries and resolving complaints.
Ensure a high standard of patient care and satisfaction
Oversee patient reviews and identify opportunities for improving patient relationships.
Financial Management :
Manage budget and monitor office expenditures. This includes providing recommendations on reducing expenses, running promotions, and improving processes.
Vendor management is critical.
Oversee billing and collections processes, ensuring timely and accurate billing.
Work closely with insurance companies to verify patient coverage and handle claims.
Compliance and Regulations :
Ensure compliance with health regulations and standards, including HIPAA.
Maintain patient records and confidentiality in accordance with legal requirements.
Stay updated on changes in healthcare laws and regulations that impact the practice.
Office Management :
Manage inventory and supply ordering, ensuring that the office is well-stocked with necessary materials.
Qualifications :
Bachelor’s degree in healthcare administration, business administration, or a related field preferred.
Minimum of [3-5] years of office management experience, preferably in a healthcare setting.
Skills :
Strong organizational and multitasking abilities
Maintains professionalism
Excellent verbal and written communication skills.
Proficient in medical software (e.g., EMR / EHR systems) and Microsoft Office Suite.
Strong understanding of medical billing, coding, and insurance processes.
Certification in medical office management or related field is a plus.
Be able to thrive in a fast-paced medical office environment.
Regular interaction with patients, physicians, and staff.
