ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
Primary Responsibility: To support the provider by providing caring, personalized and efficient handling of patients, medical records, supply management and other duties as assigned. In addition the medical receptionist provides appropriate feedback to the medical team, follow-up information to patients and correctly inputs data as required.
Key Position Responsibilities:
- Welcomes patients and visitors by greeting them, in person or on the telephone; answering or referring inquiries.
- Optimizes patients' satisfaction, provider time, and exam room utilization by efficiently scheduling appointments.
- Keeps patient appointments on schedule by verifying patient insurance benefits and eligibility prior to the appointment; reminding patients of their appointment the day before; registering and checking in patients in a timely manner; preparing necessary documents for the visit; notifying provider of patients’ late arrival; rescheduling or moving late arriving patients when necessary.
- Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining a clean and presentable front office and reception area.
- Ensures availability of treatment information by filing and retrieving patient records.
- Maintains patient accounts by obtaining, recording, and updating patient demographics and insurance information in the electronic health records system.
- Maintains accurate financial records by updating patient financial information; recording and collecting patient charges; providing patients with receipts for payments.
- Encourages patient compliance with preventive care by reaching out to patients and reminding them when they are due for preventive exams and screenings.
- Helps patients in distress by responding to emergencies.
- Protects patients' rights by maintaining confidentiality of personal and financial information per HIPAA regulations.
- Understands and complies with OSHA and any other regulatory requirements.
- Maintains operations by following clinic policies and procedures.
- Assists in orientation of new personnel as directed.
- Quickly learns and effectively uses our electronic health records system.
- Performs all other duties as trained and requested by provider and/or management.
QUALIFICATIONS:
Education: High school diploma or equivalent.
Certification/Licensure: Medical Assistant.
Experience: One of the following:
1. Experience as a Medical Assistant.
2. Related experience and/or training, or equivalent combination of education and experience.
Skills:
1. Medical terminology.
2. Recognition of physical exam process and ability to record exam details.
3. Computer proficiency and ability to quickly learn new applications.
4. Legible handwriting and ability to accurately record information.
5. Organizational skills with focus on tracking patient care and improving patient flow.
6. Professional demeanor and recognition of privacy considerations for patients and families. Other Requirements:
7. Ability to multi-task efficiently and effectively.
8. Must be able to act calmly and effectively in a busy or stressful situation.
9. Ability to communicate effectively in the English language in person, by phone and in writing.
10. Requires adherence to all policies and procedures, including but not limited to standards for safety, attendance, punctuality and personal appearance.
11. Must be able to establish and maintain effective working relationships with managers and peers.
12. Requires travel along with physician to different clinic sites and facilities throughout the work day.
Physical Requirements:
Hearing: Adequate to perform job duties in person and over the telephone.
Speaking: Must be bilingual (Spanish) and able to communicate clearly to patients in person and over the telephone.
Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
Other: Requires occasional lifting and carrying items weighing up to 10 pounds unassisted. Requires frequent bending, reaching, and repetitive hand movements (specifically keyboarding and writing), standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular work shift.
