Position Summary
DemKota Ranch Beef is seeking a detail-oriented, problem-solving, and creative Claims Manager who will also perform additional duties as the corporate office manager. When required, provide assistance to the Marketing Director. The ideal candidate will have a strong understanding of claims processes, corporate office management, and abilities to manage multiple projects simultaneously. This position will report directly to the Company Controller.
Essential Duties and Responsibilities
Claims Manager:
- Manage the claims process for DemKota Ranch Beef.
- Coordinate routinely with all necessary stakeholders and DemKota Ranch Beef Departments to collect information and documentation to support accurate and timely resolution of all claims.
- Interface with stakeholders to verify claims and ensure strict adherence to Demkota’s claims policy.
- Participate in claims adjudication committee meeting to determine if a claim is valid and who will be held responsible for the claim by collecting, analyzing, and disseminating supporting claim documentation to all concerned committee members.
- Coordinate and provide Demkota Controller with holistic and accurate claims packages for timely claims resolution and any required payments and/or collections.
- Maintain detailed claims files on all customers.
- Routinely study claims and customer files to identify trends with claims and customers, alert controller of these trends.
Office Manager:
- Executive administrative assistance to the CEO.
- Coordinate schedules and calendars, manage conference rooms, logistics and hospitality for senior staff and customer visits.
- Personal interface for visitors in corporate office.
- Synthesize data into spreadsheets and MS office products, specifically PowerPoint and Excel.
Marketing Assistant:
- Website Oversight and Order Management:
- Support in managing marketing fulfillment website by managing inventory tracking, order fulfillment, and promptly notifying the Marketing Director about inventory reordering needs.
- Monitor and ship promotional/marketing material to customers and the sales team.
- Aid in price comparison for specific marketing materials, ensuring cost-effectiveness of specific marketing materials.
- Efficiently process and ship orders to ensure customer and sales satisfaction.
- Event Coordination
- Aid in planning and organizing marketing events and customer visits, assisting with logistics, and pre- and post-event clean-up.
- Timely Response and Event Support: Ensure prompt responses, especially during critical marketing campaigns or high customer engagement periods, and be available for evening or weekend assistance, particularly during essential marketing events or time-sensitive campaigns, to ensure smooth execution.
- Adaptability and Additional Tasks:
- Assist in managing communication on social media platforms and DemKota Ranch Beef website.
- Perform other assigned duties and remain adaptable to make necessary edits to maintain brand and business standards while communicating effectively.
- Flexible Availability: Maintain adaptable working hours, addressing social media monitoring or urgent inquiries beyond standard business hours as needed.

- Strong understanding of executive-level operations, communications, expectations, and confidentiality.
- Ability to self-motivate and work independently and as a member of a group with strong attention to detail.
- Experience in with customer claims, marketing, and conflict resolution.
- Experience in Office Management, event and conference room scheduling, calendar coordination and information flow management.
- Strong discretionary and judgment skills and mature decision-making style
Physical Demands
- Ability to see, sit, stand, hear, bend, walk, and talk for 8-10 hours per day
- Ability to enter operations areas. Tolerate heat and cold.
