Primary Purpose:
Provide administrative and clerical support for the Special Education and Section 504 programs within the school district. Assist with scheduling meetings, managing paperwork, and maintaining accurate records to ensure compliance with all related regulations and policies.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
- Knowledge of school district organization, operations, and local/administrative board policies
- Knowledge of Special Education and Section 504 forms and related paperwork and requirements
- Strong organizational skills, detail-oriented, and ability to follow up efficiently
- Ability to meet deadlines and multi-task
- Effective communication skills, both in writing and orally
- Ability to follow verbal and written directions
- Knowledge of Excel or Google Sheets
- Ability to transport self, files, and supplies among multiple campuses
- Professional interaction with a variety of personalities and individuals
- Clerical experience in an office setting
- Customer service experience
- Proficiency with computers and copiers
- Maintain emotional control under stress
- Moderate standing, stooping, bending, and lifting, including possible physical activity
Experience:
Relevant clerical or administrative experience, preferably in an educational setting
Major Responsibilities and Duties:
- Provide administrative support to district and campus level staff involving matters of a confidential nature
- Provide support for Special Education and Section 504 programs
- Schedule ARDs, including notifying parents, teachers, and other staff who need to attend
- Prepare, copy, and/or electronically distribute all necessary paperwork related to ARD and Section 504 meetings
- Perform general clerical tasks
- Maintain accurate and complete caseload files, track deadlines for ARDs, and notify staff in advance of deadlines
- Follow up to ensure meetings are scheduled prior to the deadline in which they are due
- Process confidential correspondence between staff members, Department of Special Education personnel, parents, and private providers
- Maintain confidentiality
- Receive and make phone calls/emails from parents, teachers, counselors, special education staff, and administrators, take reliable messages, assist with needs, and answer questions as appropriate
- Participate in staff meetings and special events as assigned
- Travel to campuses to assist Special Education staff with paperwork
- Assist with PEIMS (Public Education Information Management System) data entry
- Assist with SHARS (School Health and Related Services) data entry
- Perform other duties in areas as assigned
