We are seeking a highly organized and detail-oriented Administrative Assistant to join our team and support the efficient operation of our school.
POSITION OVERVIEW:
The Administrative Assistant will play a key role in supporting the daily operations of the school and building Principal, ensuring smooth administrative processes, and assisting in the implementation of special education procedures. The ideal candidate will have strong proficiency in Google Apps (Gmail, Google Drive, Docs, Sheets, and Forms) and an understanding of special education processes and compliance requirements.
KEY RESPONSIBILITIES:
- Provide administrative support to the school principal and leadership team.
- Manage and organize school communications, including emails, phone calls, and school visitors
- Maintain and update student records, including Individualized Education Plans (IEPs) and other special education documentation.
- Scheduling of IEP meetings and coordinating with parents, teachers, parent districts and service providers.
- Maintain calendars and manage appointments, meetings, and events for school staff.
- Create and maintain various reports, forms, and student databases using Google Apps.
- Support the preparation of documents and reports required for compliance with special education regulations.
- Handle office tasks such as filing, scanning, copying, and data entry.
- Assist with general office management, including ordering supplies and managing inventory.
- Coordinate with district personnel, transportation companies, external agencies, and vendors as needed.
- Uphold confidentiality of student information and records.
QUALIFICATIONS:
- Associate’s degree or higher preferred
- At least 2 years of proven experience as an administrative assistant or in a similar role, preferably in an educational or special education setting.
- Strong proficiency in Google Apps (Gmail, Google Drive, Docs, Sheets, Forms, etc.).
- Knowledge of special education procedures, including IEPs and related documentation.
- Excellent organizational and multitasking skills with a high level of attention to detail.
- Strong communication skills, both written and verbal.
- Ability to handle sensitive information with discretion.
- Familiarity with school-based software systems (e.g., Embrace IEP, PowerSchool) is a plus.
- Ability to work independently and as part of a team in a fast-paced environment.
