New Directions Treatment Services has an immediate opening for a full-time Administrative Assistant/Fiscal Assistant at New Directions' Berks County facility.
Minimum qualifications: High School Diploma
New Directions is a 501 (c) 3 Outpatient Behavioral Health Services Organization that has been designated as a PA Center of Excellence for the treatment of Opioid Use Disorder. If you would like to work with an outpatient MH and SUD treatment provider that has been serving Berks County since 1990.

Position Overview: The employee in this role will be responsible for ensuring accurate and timely insurance billing for clients at New Directions Treatment Services (NDTS), as well as performing administrative assistant duties to support daily operations. This is a dynamic position requiring attention to detail, strong organizational skills, and the ability to effectively communicate with clients and team members.
Key Responsibilities:
Insurance Billing & Claims Management:
- Assist with OTP client insurance and authorizations by verifying and ensuring accuracy of client billing information in the system.
- Enter OTP services into billing software, ensuring accuracy and completeness before submission.
- Submit electronic or manual insurance claims to primary and secondary providers.
- Prepare and send balance bills to clients for services not covered by insurance.
- Follow up on open claims, investigating discrepancies and resolving issues by evaluating data and determining corrective actions.
- Code remittance advices by month, program, and service type, forwarding denials to the appropriate staff for resolution.
- Record and apply insurance payments to client accounts, adjusting bills as necessary based on remittance advice.
Client Communication & Support:
- Respond to client inquiries regarding billing, insurance, and payment issues via phone, email, or in person.
- Assist clients with payment collections, recording amounts paid and issuing receipts.
- Maintain up-to-date records for client accounts, including Medical Assistance and payment/receipt records.
- Welcome clients to the facility and notify counselors and doctors of their arrival.
Administrative & Clerical Support:
- Assist in preparing monthly billing reports, summarizing billings, adjustments, and payments received.
- Provide support to the finance team, including general ledger posting.
- Assist with ongoing insurance eligibility and authorization reviews, ensuring any updates are reflected in client records.
- Type, proofread, and finalize client-related documents, ensuring clarity, grammar, and accuracy.
- Handle telephone calls, routing inquiries to the appropriate team members.
- Manage client files, including intake, discharge, and document storage.
- Process incoming and outgoing mail, ensuring timely communication.
- Schedule appointments for clients and assist in ensuring a smooth flow of services.
- Must be able to multi-task in a fast pace environment.
Data Entry & Record Management:
- Process requested client charts for external record requests.
- Ensure accurate data entry for service utilization and payor distribution.
- Collect and distribute data as requested by other agencies.
Other Duties as Assigned
Qualifications:
- High School Diploma or equivalent.
- Minimum 3 years of medical billing experience (preferred).
- Strong organizational skills and the ability to manage multiple tasks.
- Proficient in Microsoft Excel, Word, and Office programs.
- Knowledge and experience with billing software and EMR systems.
- Ability to learn new systems and programs quickly with minimal supervision.
- Strong attention to detail, with excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
