Summary:
Essential Functions:
- Provide administrative support for the Building Operations and Security departments.
- Answer incoming calls and emails for the department.
- Maintain accurate bill processing procedures: maintain proposal records; process purchase orders; prepare invoicing for processing, compile all necessary documentation and apply A/P regulations as set by the Business Office.
- Develop and maintain accurate budget tracking processes, and collaborate with department colleagues to ensure projects remain on budget.
- Establish and maintain accurate, effective filing and information systems.
- Maintain records, inventory, and distribution of keys, locks, and other facilities-related equipment.
- Review, manage, and direct all incoming mail and work orders.
- Provide support to on-campus security systems. This includes reporting on the physical security system as well the C-Cure access management system.
- Preparation and printing of ID cards, as well as maintaining access management lists and hours.
- Coordinate special projects as assigned by the Director.
- Other duties assigned.
Qualifications:
- Bachelor’s degree required.
- 2-4 years of administrative support experience.
- Proficiency in Microsoft and Google suites.
- Excellent written and oral communication and organizational skills with a strong attention to detail and accuracy.
- Strong interpersonal skills and flexibility that allow for quality relations with a variety of internal and external constituencies required.
- Personable and courteous demeanor with enthusiastic, customer-service oriented attitude required.
- High level of discretion in dealing with financial and other sensitive and/or confidential information required.
- Ability to build and maintain relationships with outside vendors.
- Ability to manage multiple priorities and work under strict deadlines required.
- Flexibility to work independently as well as part of a team and take direction from several staff members required.
- Familiarity with academic environment preferred.
