Job Title: Assistant Director of Residential Services

Summary of Position:
The Assistant Director of Residential Services is responsible for the leadership, coordination, supervision and daily operations for the assigned residential homes of New England Village’s Residential Services including: staffing and supervisions, clinical requirements, overall maintenance and upkeep of the residences, quality control and maintaining all licensing and funder regulations and requirements, budget, organizational requirements and for other similar duties necessary to the functions of Residential Services in adherence with all New England Village, external agencies, state and local policies, regulations, and procedures.
Responsibilities and Duties:
Coordination of Services
  • Ensure the quality of support for individuals served with the emphasis on individual growth, health and safety.
  • Provide supervision to residential services program managers, case managers and assistant managers to ensure delivery of the highest quality supports to individuals served.
  • Responsible for ensuring proper staffing ratios are maintained in each home, review master and weekly program schedules and provide on-site support as necessary.
  • Monitor training of staff and provide coaching of staff as appropriate, provide counsel to resolve conflicts between staff, establish performance expectations, monitor and provide feedback as to performance, participate in staff performance reviews and make effective recommendations as to personnel matters affecting staff to supervisor and Human Resources.
  • Work effectively as a member of the interdisciplinary team and committees in fulfilling the Assistant Director responsibilities and mission of New England Village. Participate in organizational activities including: performing essential duties in absence of team member, serve on committees, assist in modification of policies and procedures, assist in NEV events, participate in admissions process as required, serve in on-call rotation, participate in budget development and monitoring of approved budgets, monitor compliance with regulatory agencies and funding sources.
  • Conduct periodic and scheduled meetings with house managers in alignment with programmatic expectations, attend house meetings, provide counsel in the development of professional and performance competencies.
  • Work with program leadership to ensure completion of all ISP documentation and documentation and submission, monitor ISP activity including data maintenance and progress summaries, attend ISP meetings. Ensure and participate in communication with residents’ families and funding agencies.
  • Lead and model the implementation of behavior programs/plans developed and written by a Board-Certified Behavior Analyst (BCBA) in home and community-based settings. Monitor the collection of accurate data as part of the behavior plan.
  • Respond to critical individual needs. Coordinate treatment referral, follow through and communicate with agency consultants, partner with nursing and clinical staff to coordinate thorough clinical care and communication of treatment needs.
  • Address maintenance concerns with Facility Manager for assigned program, monitor upkeep as to cleanliness and equipment/supplies. Receive, follow up, and monitor electronic maintenance system requests from assigned programs/residencies.
  • Assumes On-Call responsibilities on a rotational schedule
  • Perform other similar duties as responsibilities necessitate or as requested by supervisor.
Quality Management
  • Conduct routinely scheduled programmatic reviews of each program, ensuring that the day-to-day procedures within the program are in compliance with all NEV, federal, state, and funding agencies policies including timely notifications, documentation, and communication with funding sources and partnering agencies.
  • Oversee administration of programs budgets including maintenance of financial records and combined assess, routine monthly audits of residential and individual financial records and reconciliation, monitoring and approval of timesheets to ensure compliance agency and funding source requirements.
  • Maintain HIPAA compliance. Work with confidential data such as individual case records and medical records, which, if disclosed inadvertently could have significant internal effect or minor external effect.
  • Participate in internal and external reviews including MAP reviews, financial reviews, chart reviews and licensing reviews as requested
  • Completing necessary follow-up and corrections following internal and external reviews within required timeline.
  • Finalization and oversight of all HCSIS activity including incident reports, assessments, objectives, implementation strategies, and progress reports within the defined timelines.

  • Provide 24 hour on-call, on a rotating basis, to ensure program oversight and access to resources.
  • Perform other similar duties as responsibilities necessitate or as requested by supervisor.
Knowledge and Experience Required:
  • Bachelor's degree in Social Work, Psychology, or related field preferred, but experience may substitute for education.
  • 3-5 years of Human Services management experience.
  • Experience in Positive Behavior Supports (PBS) and ABA strategies preferred.
  • Working knowledge of computer systems, programs, and applications
  • Strong time management, organizational, and writing skills.
  • Must be at least 21 years of age, have a current, valid and in good standing, US drivers' license.
  • CPR, First Aid and MAP certification preferred. If hired without certifications, must become certified within 4 months of hire. Must maintain certifications during employment.
Skills and Abilities Required:
  • Wide variety of programmatic duties requiring a general knowledge of related organizational and funding agency policies and procedures and their application to cases not previously covered.
  • Inside and outside contacts carrying out program and team policies or programs and influencing others where improper handling will have a marked effect on results. Involves dealing with supervisor on matters requiring explanation, discussion, persuasion and obtaining approvals.
  • Work with confidential data such as individual case records which if disclosed inadvertently could have significant internal effect or minor external effect.
