JOB DESCRIPTION
Case Management Financial Support Specialist - Regular, full-time position working in the Fiscal Department at the Administrative Office of the Courts. This position is subject to the sufficient and continued funding of the Judicial Branch by the Legislature.
The Case Management Financial Support Specialist is a regular, full-time administrative position working in the Administrative Office of the Courts. This position provides accounting support through customer service to court staff who utilize the Odyssey case management system, periodic bank reconciliations of monies recorded in Odyssey, and handling of credit card payment disputes. This position maintains inventory of all court bank accounts and completes transactions in Odyssey as needed.
Individual must be available for in-state travel to court sites as needed and assigned and will be reimbursed according to the court system mileage reimbursement policy. Individual is subject to transfer or reassignment at the discretion of the Director of the Administrative Office of the Courts.
The Case Management Financial Support Specialist reports to the Case Management Financial Support Administrator of the Administrative Office of the Courts and has no supervisory responsibility.
ESSENTIAL DUTIES & RESPONSIBILITIES
The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.
- Supports users of the Odyssey case management system.
- Provides access for users to make entries into trust accounts and works with court employees to set up trust accounts or closeouts.
- Prepares requests for the transfer of funds from bank accounts to the Odyssey operating account.
- Assists the Case Management Financial Support Administrator to complete monthly reconciliation of revenues and expenses.
- Processes monthly invoice of e-filing credit card fees.
- Performs weekly download of Supreme Court e-filing credit card transactions.
- Prepares fees and bank charges reimbursement requests to NH Treasury.
- Verifies fees charged to court bank accounts.
- Maintains Odyssey financial system fee codes and fee schedules, and updates as needed to comply with legislative changes involving fines and fees.
- Tests system patches and new releases involving Odyssey software.
- Develop and produce training materials and perform training sessions for Odyssey users.
- Analyzes daily and monthly reports to determine compliance with accounting procedures and to make recommendations to the courts on corrective issues if needed.
- Prepares Yearly Trust and Agency Fund Report to the State of New Hampshire as part of the Annual Comprehensive Financial Report (ACFR).
- Maintains inventory of bank accounts and submits annual report to NH Treasury.
- Collects IRS form 8300 from courts for calendar year reporting of bail over $10K and issues memo to parties that posted the funds.
- Orders bank deposit slips and bags for all courts, Central Processing Center, and Circuit Court E-Filing Centers.
- Places orders for checks for Accounting and Payroll Department.
- Performs related work as required.
DESIRABLE QUALIFICATIONS
Education and Experience
- Graduation from an accredited four-year college or university with major coursework in accounting, computer science, business, public or judicial administration, or a related field.
- 5 years of experience performing varied accounting activities, or any equivalent combination of education and experience.
- Demonstrated knowledge, abilities, and skills relevant to the role.

- Judicial Branch financial software programs and applications.
- Record retention guidelines.
- Odyssey case management system, both from the end user (court staff) perspective and financial side.
- Bank account reconciliation process.
- PayPal system.

- Court fees and fee schedules.
- Microsoft Office products (Excel, Word, PowerPoint).
