Job Title: Office Manager
Reports To: Head of School
Salary: Competitive and commensurate with capability and experience
Hours: Full-time 12-month position
Benefits: Benefits are available the first of the month following 30 days of employment. The benefit package includes medical, dental, vision, life, short- & long-term disability, supplemental plans, and employee funded 403b. New Hope Academy covers 100% of the cost of medical, dental, vision, short- & long-term disability for the employee only. The employee may elect additional coverage including coverage for family members at the cost of the employee, 10 Personal Days, 10 Sick Days, in addition to holidays as listed on NHA’s calendar.
Job Overview:
The Office Manager will oversee daily office operations, manage administrative tasks, and support the smooth functioning of the office and clinic. This position requires a highly organized, detail-oriented individual with excellent communication and leadership skills, as well as a commitment to maintaining a positive, welcoming, and efficient workplace. Ulitmately, this role helps to improve and maintain office procedures and day-to-day operation.
Responsibilities include but are not limited to:
- Embrace and articulate the mission and vision of the school
- Manage the front office to create an appropriate atmosphere conducive to the business of New Hope Academy
- Manage and maintain NHA Clinic. Administer first aid/emergency care, administer prescription medications to students, and responsible for all documentation.
- Oversee guest experience and ensure visitor procedures
- Maintain computerized and manual records, files, and department databases
- Oversee administration of student records and maintain CUM
- Create schedules for Parent/Teacher Conferences, Birthday Books, Picture Day and other school events needed
- Manage inventory of office supplies and materials
- Address employee queries regarding office management issues
- Perform general clerical functions, sorts mail, answers phone calls, etc.
- Coordinate appointments, schedules, and manages calendars
- Support Head of School with their administrative functions
- Coordinate student lunch orders with outside vendor
- Report accurate attendance daily
- Collaborate with teachers to administrate field trips
- Oversee and manage uniform sales, inventory, donations, and serve as liason with uniform company
- Assist with school events as needed
- Attend monthly staff meetings and meetings assigned by Head of School
- Maintain front office, workroom, teacher lounge, and clinic space as well as office equipment
- Any other duties assigned by Head of School
Minimum Qualifications

- Interpersonal skills
- Advanced computer skills, with an aptitude to learn new systems and procedures

- Ability to handle multiple projects effectively
Education Requirements
High School diploma required
Preferred Requirements
- Bachelor’s degree in business administration, communications or any related field
- Two to four years of experience as an administrative or office manager
