Working closely with the Director of Development, the Development Associate will manage donor-related tasks, event coordination, and administrative responsibilities. This full-time, in-person position will ensure the smooth operation of the department and allow the Director of Development to focus on high-level strategy and relationship building.
Qualifications
- Bachelor’s Degree in Communications, Business, Nonprofit Management, or related field, or 3 years related work experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems; Donor Management Software experience preferred.
- Minimum 1–2 years of experience in nonprofit development or a similar role.
- Strong organizational, verbal, interpersonal, and written communication skills.
- Grant seeking and project management experience preferred.
- Valid, clean NYS drivers license
Donor Database Management and Reporting
- Maintain donor records and files electronically and physically, ensuring data accuracy and confidentiality.
- Ensure Donor Management Systems are fully utilized for donor segmentation, automated communication workflows, and real-time tracking of engagement metrics.
- Process all donations and pledges, preparing acknowledgment letters and tax receipts in a timely manner.
- Generate detailed fundraising and donor reports, including tracking event sponsorships, matching gifts, and giving trends.
- Reconcile donor data with the Finance Office monthly and assist in audit preparations.
- Assist in creating personalized donor communications, proposals, and follow-ups for cultivation and stewardship.
- Support the planning and execution of donor appreciation events and initiatives.
- Prepare donor and media kits for meetings, events, and outreach activities.
- Conduct research on potential donors, foundations, and corporate sponsorship opportunities.
- Support the Director in cultivating partnerships with local businesses, community organizations, and stakeholders to build awareness and create sponsorship opportunities.
- Collaborate with the Events & Marketing Department to organize fundraising and cultivation events, including guest lists, materials, and logistics.
- Oversee event registration, ticketing, and onsite logistics.
- Manage production and mailing of invitations, e-blasts, and follow-up communications.
- Prepare post-event evaluations, including revenue, attendee feedback, and areas for improvement, to ensure continuous enhancement of donor events.
- Assist with the production, mailing, and tracking of direct mail campaigns.
- Draft copy for newsletters, event programs, and marketing materials as needed.
- Coordinate with vendors for design, printing, and digital distribution.
- Manage schedules, agendas, and meeting minutes for Development-related meetings.
- Maintain the Development Department’s calendar, ensuring alignment with organizational goals and initiatives.
- Support grant applications and reporting by gathering required data.
- Organize files, contracts, and donor agreements.
- Work hours will vary based on events, workload or needs of the department.
- Support special projects and initiatives as directed by the Director of Development.
- Assist with general office support, including phone calls and correspondence.
- Frequent driving.
- Able to lift 30 lbs., 50 lbs. with assistance.
- Physical: sitting, standing, kneeling, stooping, bending, squatting.
Salary : $42,000 - $45,000
