What are the responsibilities and job description for the Accounts Payable Specialist position at New Hope Housing Inc?
Summary of Position:
The Accounts Payable Specialist will be primarily responsible for managing the accounts payable process of the company and as such will ensure accurate processing and payment of all bills and invoices.
Essential Responsibilities:
Some of the essential responsibilities of the Accounts payable Specialist will include, but are not limited to:
- Receive, verify, code and enter invoices and expense reports.
- Ensure timely payments of invoices & expense reports.
- Organize weekly payment run. Issue checks and/or prepare ACH/Wire payments and apply payments in MIP Abila/Avid Exchange
- Monitoring accounts to minimize risk of delinquency charges to the company.
- Create and maintain accurate and complete vendor files.
- Vendor relationship management – build trustworthy relationships with our vendors.
- Monitor all project/program expenses when entering AP Check Requests
- Identify, research and resolving invoice discrepancies.
- Preparation of 1099 & 1096 Forms.
Other:
- Prepare end-of-month reports and reconciliations.
- Provide cash forecast (payments and cash collections).
- Assist with year-end audit as needed
- Suggest improvements in processes to increase effectiveness of the department.
- Support software and other process implementations pertaining to improving AP processes.
- Perform Ad Hoc request and special projects as required in the role.
- Adhere to accounting controls and comply with accounting policies and procedures.
- Other duties may be assigned or required.
Preferred Qualifications:
This position requires the following:
- BS/BA in Accounting, Business, or Finance required or 7 years’ experience in similar position;
- 3 years of relevant experience in AP
- Familiarity with GAAP and internal controls is required.
- Nonprofit accounting experience
- Detail-oriented and excellent organizational skills
- Strong proficiency in Microsoft Excel and Word ADP, Abila, and ACH experience desired
Interpersonal skills that include patience, ability to handle multiple high-priority demands, time management, flexibility, and ability to work with all levels of the organization
The ability to successfully pass a background check and possess a valid driver’s license with a good driving record approved by our insurance carrier.
Salary : $24 - $30
