What are the responsibilities and job description for the Asset Manager position at New Hope Services Inc?
ESSENTIAL DUTIES:
- The Asset Manager is responsible for ensuring the properties, facilities, and buildings of NHS and NHDS are properly maintained.
- Conduct property visits and inspections to include amenities, vacant units, and maintenance facilities. Local at least monthly, regional at least quarterly, and as needed and requested
- In conjunction with property management representative, maintains communities, construction sites, and all property owned by NHS & NHDS to assure excellent curb appeal, physical condition, and security
- In conjunction with CFO, ensures all NHS & NHDS properties, facilities, and buildings are properly insured
- Coordinates federal and state housing inspections, and monitors reporting requirements to ensure timely and accurate information is provided
- Responsible for the oversight and operation of Transportation Services inclusive of, but not limited to:
- Oversight and purchase recommendation, sale, and maintenance of all agency vehicles, and ensures appropriate insurance coverage is maintained on all vehicles in fleet
- Responsible for the oversight of the Verizon Connect Reveal software reporting process to ensure staff member delivers accurate weekly reports to appropriate individuals
- Ensure proper registration and licensing of all agency vehicles; including registering with toll system and verifying monthly invoices
- Research data for, and author, annual Section 5310 grants and ensure proper records and grant compliance is maintained
- Review agency Transportation Manual for accuracy and to ensure compliance annually and update as needed
- Develop and maintain a standardized preventative maintenance program and schedule for all agency vehicles

Assume the administrative responsibility and accountability of supervising Maintenance Service tasks:
- Supervise and direct maintenance staff
- Coordinate third party maintenance needs such as flooring, plumbing, HVAC, etc. as needed
- Develop and maintain a written policy manual for preventive maintenance for all New Hope properties
- Responsible for contracting for annual services (i.e. lawn care, snow removal, janitorial services, etc.) for all facilities
- Respond to emergency maintenance, alarms or any facility or transportation related situation as needed
- Notify appropriate personnel of all cleaning, painting, security, preventative maintenance, and/or property condition problems
- Provide monthly reporting of staff man-hour utilization to supervisor
- Work with appropriate facility/program staff on any and all renovations and or physical plant projects including vendor and product sourcing and bidding

Responsible for preparing and maintaining the following Fixed Asset Records:
- Assist Fiscal staff with annual fixed asset inventories for each facility
- Responsible for maintaining well-organized storage facilities
- Provide detailed information regarding space utilization at each site to assist in development of annual Fixed Assets Budget

Coordinate building and facility security and safety:
- Maintain a working knowledge of all relevant safety, building, and ADA codes and regulations
- Oversee the security of all facilities in cooperation with individual managers at NHS facility locations
- Maintain copies of all agency property keys and assign as necessary to staff
- Complete, at a minimum, quarterly scheduled inspections for all agency properties inclusive of, but not limited to: Fire Marshal, elevator, smoke detectors/alarm system, fire extinguishers, etc.
ADDITIONAL GENERAL DUTIES:
- Contribute to the team effort to accomplish the mission of New Hope Services, Inc
- Complete special projects as assigned by supervisor
- Attend all meetings and conferences as assigned, including regular staff meetings
- Participate on community and professional associations and activities as directed to enhance the corporate image and maintain accurate and reliable policies for areas of designated responsibility
- Ability to be accessible and flexible to the various customer groups and their needs during working hours, and assist other department personnel as requested/needed
- Maintain familiarity with and review the personnel policies and procedures of New Hope Services
QUALIFICATIONS:
- Must have the ability to effectively communicate with various levels of people to include employees, outside vendors and community leaders
- Maintain a valid driver’s license, current auto insurance, and reliable transportation
- Experience in transportation, facilities, and project management
- Prefer at least two (2) years of experience in the housing industry within the past five (5) years (real estate development, property management, etc.)
- Must be detail-oriented and be able to work under pressure/deadlines
- Requires the ability to multi-task
- Must be self-motivated, well organized, have a professional manner that fosters the development of excellent working relationships within the industry, and excellent critical thinking skills
- Basic computer skills with knowledge of Microsoft programs
EDUCATION/YEARS OF EXPERIENCE:
- High School Diploma/GED Equivalent required; Bachelor’s degree preferred
- Minimum of two years (2) experience in supervision preferred
- Minimum of three years (3) experience in facilities management/maintenance preferred
