As an Executive Assistant / Corporate Governance Administrator, you will provide high-level administrative and executive support to the CEO and senior management team, while also assisting in the coordination and execution of corporate governance initiatives. You will play a critical role in ensuring compliance with governance policies, managing key administrative tasks, and supporting strategic decision-making processes.
What you’ll spend your time doing:
Executive Support:
- Provide comprehensive administrative support to the CEO, including calendar management, travel coordination, and meeting preparation.
- Organize and prioritize executive communication, emails, and requests to ensure timely and efficient responses.
- Prepare, review, and edit presentations, reports, and correspondence.
- Coordinate logistics for board meetings, leadership retreats, and other senior management events.
- As assigned, manage projects on the CEO’s desk.
- Maintain confidentiality of sensitive information and handle matters with discretion.
Corporate Governance:
- Serve as administrative liaison for board members, including travel coordination, documentation sharing, and other matters.
- Assist in the preparation of materials for board meetings, including agendas and presentations. Take minutes for all Board level meetings, including committee meetings.
- Maintain and ensure adherence to annual board meeting calendar with scheduled deliverables for each Board and Committee meeting.
- Monitor and track compliance with corporate governance policies, procedures, and regulatory requirements.
- Liaise with external legal and compliance teams on matters related to governance and regulatory filings.
- Manage and maintain corporate records, ensuring accurate and up-to-date documentation.
- Provide support for the governance structure of the organization, including board and committee charters, bylaws, and corporate policies.
Additional Responsibilities:
- Serve as office manager for Richmond Loan Production and Administrative Office at 2800 Patterson Avenue, Richmond, VA
- Act as a liaison between the executive office, board members, and senior management, facilitating communication and information flow.
- Handle ad hoc projects as assigned by the CEO, demonstrating flexibility and attention to detail.
- Assist with internal and external communications, including preparing memos and corporate announcements.
Qualifications:

Experience:
- Minimum of 3-5 years of experience as an Executive Assistant or in a corporate governance role, preferably within a bank or financial services organization.
- Strong knowledge of corporate governance principles, practices, and regulations.
- Experience managing board-level meetings, preparing governance documents, and liaising with legal/compliance departments.
- Skills:
- Exceptional organizational, time-management, and multitasking skills.
- Strong written and verbal communication skills with a keen eye for detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with board portal software.
- Ability to handle confidential information with discretion and professionalism.
- Strong problem-solving skills and the ability to work independently as well as part of a team.
