Admissions Facilitator
Objective: Responsible for the physical intake process of new patients at time of admittance.
Qualifications/Skills: High school graduate or equivalent.
Needs strong interpersonal, communication, organizational and multitasking abilities. Must be detail oriented and maintain strict ethical and professional boundaries. Must be willing and able to work as an individual and as part of a cohesive team in a change-based environment, use independent critical thinking and be self-directed with minimal supervision. Possess distress tolerance to work with a difficult patient population while managing several projects simultaneously. Must have strong written and verbal grammar skills. Reliable attendance is a must. Excellent Word and Excel spreadsheet and experience with electronic health records is a bonus. Must pass pre-employment drug screen, state and federal background checks.
Special Requirements: Stair-climbing, walking, sitting/standing/bending, lifting, working at a computer the majority of the workday. May be required to maintain a valid driver’s license and be insurable on the Agency insurance.
Responsibilities:
- Conduct patient safety screening and impairment screening consistent with the facility protocols and documentation requirements.
- Collect patient information consistent with intake screening standards and route to the appropriate clinician or administrative staff via staff log and appropriate distribution of related documents.
- Responsible for initial alcohol and drug screenings (data entry into lab system, collect/review UA sample, and prepare for shipping). Also responsible for reviewing UA records daily, connecting to client file in EHR, reporting abnormal results to clinical staf
- Conduct property searches in the presence of the patient.
- Make appropriate referrals to address urgent or emergent medical needs at the time of intake (Medical Incident Reports, Health Care Concern Tracking Forms, transportation and written communication into the daily log).
- Ensure the proper routing of patient property by personally placing items in the safe, 2nd locked drawer and/or 3rd floor closet, as appropriate).
- Inspect each personal electronic device belonging to incoming patients to determine and document the condition and functionality of those devices.
- Accompany the patient and their medications (if applicable) to the medication room for transfer of custody to the individual signed-on to the medication cart.
- Upload associated intake documents to the EHR and fax appropriate documents to ensure proper coordination with community providers (e.g. Genoa Pharmacy).
- Ensure the patient washes and/or dries their own laundry in accordance with facility bedbug prevention protocol.
- Ensure that patient property requiring heat treatment to prevent bedbugs is sealed in a plastic containment, labeled, dated, and placed in the room where the heat treatment takes place.
- Review log from the previous shift. Log any decisions made during shift and rationale.
- Cross train in Med Room to dispense patient medications, assist with patient medical needs, upload medical documentation, and support ARNP, Healthcare Coordinator, and dedicated Med Room staff as needed.
- Cross train on Front Desk reception, scheduling, insurance verification and documentation, and clinical support (such as Treatment Team documentation and teaching didactic classes) to provide coverage during time off.
- Attend all required staff meetings and trainings.
- Maintain confidentiality per HIPAA and CFR 42 part 2.
- Maintain an understanding of Sun Ray Court branch policies and procedures and NHCC, Inc. policies.
- Other duties as assigned by Supervisor or Administrator.

Experience:
- Customer service: 3 years (Required)
- Experience in healthcare and/or behavioral health (Required)
- Microsoft Suite (Excel, Word, Outlook) 2 years (Preferred)
- Medical terminology (Preferred)
Work Location: In person on site at Sun Ray Court. No option for remote work.
