Position Summary: The Business Office Manager position will provide day to day at New Horizons Recovery Centers LLC.
New Horizons Cincinnati LLC is based behavioral health organization offering mental health and substance use disorders for adults and adolescent populations. New Horizons Cincinnati, LLC will work in coordination with outpatient medical and counseling services to provide mental health and substance use disorder services to adult and adolescent clients with behavioral health issues. This position will be supervised by the Executive Director with whom Services will be office-based. The Business Office Manager will work in collaboration with the admission, medical and clinical teams to coordinate client care, assist with insurance and billing, admissions assist with marketing strategies that will grow programming and additional duties below:
Job Requirements and Responsibilities Requirements and Responsibilities:
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly
- Manage office supplies inventory and communicate orders needed to appropriate staff
- Perform receptionist duties: greet visitors, answer and direct phone calls, conduct follow ups for missed sessions/discharges
- Answer potential client phone calls and complete all necessary requirements including assessments, VOB, explaining the Company programs etc.
- Continuously ensure office policies and procedures are implemented appropriately
- Schedules all parts of admission with medical and clinical team and completes required admission processes.
- Identify opportunities for process and office management improvements, and design and implement new systems
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, creating reports, conduct meeting minutes
- Maintain social media platforms while providing weekly posts on community engagement and program updates as well as make edits as needed to website
- Assist with monthly submissions required by all company accreditation and licensures
- Assist with scheduling of appointments and conduct pre-screens for referrals/potential clients
- Maintaining attendance and tracking of payment plans
- Assistance with pre admission screenings and complete admissions
Qualifications and Education Requirements
Minimum Required Education:
- Diploma and/or GED
Minimum Required Experience:
- At least 2-5 years providing administrative services to persons receiving treatment for mental health and substance use disorders
- Ability to work with both adult and adolescent populations
- Experience with Excel/Microsoft
- Knowledge of social media and online systems including EMR
Licenses/Certifications:
- No suspension/exclusion/debarment from participation in federal health care programs
- Maintain credentials and licensure with all major insurance companies and licensing boards with the assistance of Provident credentialing staff as applicable to position.
Preferred Skills:
- Experience in delivering high-quality, client-centered care
- Able to document and navigate EMR independently
- Ability to maintain strict client confidentiality
- Ability to effectively communicate and interact with individuals involved in all aspects of programming
- Proficient computer skills, including working knowledge of Microsoft Office
- Ability to work effectively on multidisciplinary team
- Language Skills: Ability to read, analyze and interpret general and professional documents. Ability to write routine reports and correspondence. Ability to effectively present information in one on one and small group situations
- Must possess the ability to make independent decisions when circumstances warrant such action
- Ability to foster teamwork; train and direct the work of team members and colleagues
- Excellent organizational skills, including the ability to work productively and make independent decisions.

Working conditions and requirements:
