Position Summary:
Reporting to the Vice President of Finance, the Accounting Manager is responsible for overseeing day-to-day accounting operations, managing vendor relationships, preparing financial reports, and ensuring compliance with accounting regulations. This position plays a key role in month-end closing, audits, and financial planning while also contributing to the company’s efforts to reduce costs and enhance revenue. This position collaborates with all members of the organization.
Essential Functions:
- Review and post invoices and expense reimbursements.
- Complete check runs
- Manage vendor relationships, including setup, maintenance, and W-9 collection.
- Review aging reports and follow up on outstanding receivables.
- Prepare and submit retirement plan contributions.
- Perform bank, investment, and other financial reconciliations.
- Create and enter month-end journal entries.
- Update membership dues and perform bank reconciliations for FPA and FPCA accounting.
- Prepare financial reports, memos, and reconcile revenue and subrecipient payments.
- Manage grant payments, track insurance, and ensure timely payments.
- Monitor cost-per-patient statistics compared to prior years.
- Prepare quarterly funder reports (FFR) and expenditure reports.
- Reconcile Form 941 and review 1099s.
- Facilitate audit and Form 990 preparations.
- Assist in the annual budget process.
- Update and develop financial policies and procedures.
- Manage and update general ledger codes, programs, and departments.
- Deactivate outdated general ledger codes, programs, and departments.
- Draw down funds from grants and manage payment dues.
Financial Oversight:
- Recommend strategies to reduce costs and enhance revenue.
- Preparing documentation for external auditors
- Analyze financial statements for discrepancies and alert the Vice President of Finance as needed.
- Coordinate semi-annual audits and assist the Vice President of Finance with audit processes.
- Reconcile monthly accounts for accurate reporting and ledger maintenance.
- Delegate financial tasks to the accounting team as needed.

Education, Skills, and Experience:
To be successful in this role, the ideal candidate will possess the following skills and experience:
- Bachelor’s degree in accounting, finance, business administration or related field and/or minimum of five years of experience in accounting and /or finance preferably with a non-profit organization.
- Account Reconciliation experience and understanding of accounting standards a MUST.
- Experience with Accounting Systems; Experience with NetSuite a plus.
- Proficient in Excel
- Strong attention to detail and critical thinking skills.
- Ability to maintain confidentiality.
- Strong verbal and written communication skills, not afraid to pick up the phone.
- Strong organizational and time management skills.

Work Schedule and Time Commitment
- Flexible Schedule – NJFPL maintains a flexible schedule. Employees work at least seven (7) hours per day with a thirty (30)-minute lunch period.
- Hybrid Work Environment – NJFPL maintains a hybrid work environment. Employees must work in the NJFPL office a minimum of 3 days a week and may work in a remote capacity the remaining 2 days per week. Employees may elect to work in the office up to 5 days a week.
- Travel within the State is required once per month. This position requires the employee to have access to transportation for in-state travel. Out-of-state travel to training or conferences is expected once annually. Work-related travel expenses are covered by NJFPL.
Compensation & Benefits:
Status: Full-time, Exempt
Salary Range: $83,000 – $92,000, depending on experience.
Reports to: Vice President of Finance
