We are looking for an experienced administrator with exceptional organizational and customer service experience join our growing 9-person team.

The ideal candidate for this position has at least 2 years experience in a professional office OR restaurant/ bakery setting.

Candidate Should Have Extensive Experience:

  • Communicating with customers (via e-mail, phone and in-person)
  • Managing a high volume email communications
  • Intake and organization of data across multiple channels: e-mails, POS, website, phone
  • Using Google / Microsoft Suite: Sheets, Word, Powerpoint, Gmail, Google Docs
  • Preferred but not required: using Shopify for order management
  • Experience coordinating and communicating with high-end consumers
  • Familiarity with event planning administrative tasks: budgeting, logistics, organization

A successful candidate will be expected to have exceptional time management, be VERY detail oriented and organized, both physically (bakery & office organization) and digitally (data, emails, event logistics, etc.), and flexible and adaptable to a fast paced work environment.

Chief Tasks will Include:

  • Answering new order inquiries
  • Organizing incoming order data
  • Invoice clients and managing invoicing schedule
  • Communicate order and cake design opportunities, draft proposals for clients
  • Coordinating bakery pick-up and delivery schedule
  • Coordinating event planning logistics
  • Inventory related to Packaging supplies, classes and events
  • Attends and assists in the coordination of off-site events

Hours & Location:

  • Our bakery is located in the Brewerytown neighborhood of Philadelphia
  • We are seeking a candidate to work 5-6 days a week, 40 hours
  • Hybrid schedule: Monday to Wednesday option for remote work
  • This position is expected to work some weekend hours, mostly virtual, keeping up with order inquiries and weekend e-mail volume.
