Position Summary
The Safety and Security Manager position is full-time, 40 hours per week (exempt, benefits eligible) and will take place at our New Life Centers locations. The Safety and Security Manager will help the organization develop out plans to include the safety of buildings, events, fleet, and monitoring successful implementation. Will require some local travel (reimbursable). Pay commensurate with experience. This position is in-person. May require response to safety issue as needed. Reports to Director of Operations.
Job Responsibilities
- Communicates with Supervisor and staff to ensure any safety issues or concerns are addressed immediately.
- Manages systems for NLC fleet management including “Fleetio”, GPS, and cameras.
- Submits Fleetio report to finance, monthly.
- Performs follow up with appropriate team members for any issues such as; speeding, parking or speeding tickets, following Fleetio process, disconnected cameras, new drivers, damage, maintenance, reservation issues, vehicle cleaning, coordinating pick-up and drop-offs).
- Maintains list of approved drivers from insurance.
- Maintains compliance list for trainings and renewal trainings for forklift certifications and driver trainings.
- Oversees forklift and truck rentals (approves invoices as needed, coordinates maintenance, troubleshooting, main point of contact for vendors, leads process for contract renewals or new contracts, coordinates pick-up and drop-offs, communicates to appropriate team members).
- Prompt response to team members with any fleet questions; including reservations/parking/damage.
- Assistance at NLC locations directing traffic when needed Ex. Pan De Vida food pantry, Fall fest, Winter Wonderland, Playstreets Humboldt Park community events)
- Acts as "security" at office locations when additional support is needed (not referred to as security guard).
- Assists DOO with building compliance: working fire extinguishers, exterminator appts., fire drills, fire inspections, replenished first aid kits).
- Leads creation and implementation of the Safety and Security Plan for all buildings and Events (With DOO and Office Managers. Ex. Extreme event such as tornado, basic building safety plan)
- Researches/facilitates appropriate trainings for any safety issues and/or plan implementation. Collects staff completion certificates and/or list of completions.
- Performs drop-ins at shelters and SPARC to observe any potential safety risks (Bird's eye view for things we may miss.), and communicates observations and feedback to leadership team.
- Manages camera systems for safety purposes.
- May assist with event or meeting set-up/tear-down, as needed.
- Manages time wisely to complete assigned projects.
- Requests assistance from COO when necessary.
- Oversees productivity and safety of facilities team members and is main contact for communications with subcontractors.
- Updates Operations team on safety issues.
- Maintains accuracy of budget and spending plan.
- Participates in required evaluations and audits when necessary.
- Demonstrates New Life Centers’ values.
- Attends required meetings and trainings.
- Other duties as assigned by the Supervisor.
Skills & Qualifications
- Must become a Certified Mandated Reporter. Training provided.
- Must pass a background check, must not have any pending cases.
- Must pass a Child Abuse and Neglect Tracking System background check.
- Must pass a National Sex Offender Registry background check.
- Must have a working phone and phone number.
- One year experience managing fleet, safety programs, building safety, or similar.
- Ability to communicate effectively both written and verbally.
- Must be willing to be trained, and proficiently utilize Microsoft 365 and other information tracking systems relevant to duties.
- Ability to establish and maintain effective working relationships with others.
- Valid Illinois driver’s license. Ability to travel to different sites as needed. Subject to driving background check.
- Must have access to a vehicle in order to visit sites as needed.
- Must be able to drive 15 passenger van and truck rentals.
- Bilingual English/Spanish helpful but not required.
