JOB DESCRIPTION:

The Intake Coordinator will assist with all incoming client referrals, ensuring timely access to essential care for clients. This role will provide essential office and program information, and support clients, families, and treatment providers through inquiry, screening, and acceptance. The ideal candidate will possess the expertise and skills necessary to participate in key intake functions, including appointment scheduling, client screening, customer service, and compliance with regulatory requirements.

This is a full-time hybrid role requiring three days per week on-site with flexible working hours.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Assist with incoming and outgoing referrals, ensuring accurate and timely completion of the agency referral form
• Process referrals received via email, phone, fax, and partnerships in a timely manner, and partner with Intake Team Lead with any questions or challenges
• Monitor the Referral@nlksolutions.com inbox daily and respond promptly to inquiries
• Verify insurance coverage by checking the IL Medi-system for eligibility and obtaining XOG numbers for BCBS-IL clients
• Assign appropriate R codes based on reported client needs for initial billing
• Ensure accurate data entry and processing in the Therapy Notes billing system
• Maintain and update client and billing information within Therapy Notes as required
• Ensure all client consents are sent, received, and signed in accordance with Medicaid requirements
• Submit billable services in the Therapy Notes system in a timely manner
• Complete a minimum of 10 approved billable hours per week
• Meet performance metrics and quality standards related to referral and intake processes
• Attend meetings as required
• Perform other duties as assigned

QUALIFICATIONS:

• High school diploma or equivalent required; bachelor’s degree in healthcare or business administration, social services, or a related field preferred
• Experience in mental health assessment, especially with diverse youth populations, including those in the juvenile justice system
• Strong verbal and written communication skills, with the ability to engage effectively with clients, families, and staff
• Strong problem-solving, time management skills and resourcefulness
• Proficiency in general computer applications and electronic health records
• Knowledge of HIPAA, COA standards, and state mental health regulations

OTHER REQUIREMENTS:

• Ability to work a varied schedule, including weekends and early mornings
• Ability to work independently and attention to detail
• Must past a background check prior to employment and on an annual basis
• Must obtain criminal history fingerprint clearance prior to employment
• Must be able to see and hear within normal range, with or without correction
• Must be physically mobile
• Must have access to a telephone and computer
• Must possess a valid Illinois driver’s license, current automobile insurance, and transportation

COMPENSATION: $18 - $29/hr depending on highest level of education completed
