Deliver an Efficient and Compliant Process:
· Manage and Deliver Project Workstreams: Oversee the execution and delivery of all project workstreams, ensuring milestones are met, and providing regular progress updates to the project team and stakeholders.
· Project Management: Implement the project utilizing the Prince II methodology, demonstrating your expertise in managing large scale complex projects.
· Lead Process Definition and Solution Design: Facilitate workshops and working sessions with client and internal teams to analyze and define the necessary processes for implementing the client’s workforce solution(s). Translate these process requirements into actionable project deliverables.
· Secure Client and Internal Sign-Off: Present proposed solutions, configurations, and implementation plans to both internal teams and clients, ensuring alignment and securing formal sign-off to proceed.
· Coordinate System Setup and Configuration: Oversee the setup and configuration of client systems, whether Hays’ proprietary technology or third-party solutions, ensuring all systems are configured per client requirements. Manage user acceptance testing (UAT) processes and ensure smooth data migration from both Hays and client systems.
· Lead Configuration Execution: Drive the execution of system configurations and manage any agreed-upon changes throughout the implementation lifecycle. Ensure these changes are in line with client needs and project objectives.
· Support User Acceptance Testing (UAT): Assist internal and client teams in facilitating UAT efforts, ensuring that configured systems are thoroughly tested. Support issue escalation,
monitor progress on resolutions, and follow up to ensure challenges are addressed in a timely manner.
· Support Data Migration Workstreams: Assist in overseeing the data migration process by coordinating with relevant teams on data collection, validation, and integration efforts. Ensure the smooth flow of data transfer from Hays and client systems, ensuring that key milestones are met and any issues are promptly addressed.
· Assess and Evaluate Change Requests: Assess requests for changes to the project scope, considering data impacts, system integrations, and downstream effects. Ensure any proposed changes are documented, evaluated, and approved by relevant stakeholders.
· Document Requirements and Manage Revisions: Ensure all business and functional requirements are clearly documented and reviewed by stakeholders. Manage revisions and updates as needed, ensuring all changes are tracked and properly approved.
· Address Queries and Feedback: Act as the primary point of contact for all project-related queries from both internal teams and clients, managing feedback and making necessary adjustments to ensure smooth project delivery.
Optimize Systems & Processes for Successful Delivery:
· Ensure Compliance with Legal and Regulatory Standards: Support the team in ensuring that all systems, processes, and solutions adhere to current legislative and regulatory requirements, mitigating any compliance risks throughout the project lifecycle.
· Maintain Data Integrity Standards: Collaborate with stakeholders to ensure that data integrity is maintained throughout the project. Support efforts to uphold high standards of knowledge and system expertise, ensuring data is accurate and reliable across all touchpoints.
· Facilitate Process Improvements: Identify opportunities for system and process improvements to optimize delivery and enhance efficiency. Work with the Business Analyst and other workstream leads to ensure continuous process optimization during implementation and post-implementation phases.
· Facilitate User Adoption and System Performance: Work with internal and client teams to ensure the successful adoption of implemented systems and solutions. Support the transition process by coordinating training and providing necessary resources to ensure users are equipped to effectively utilize the systems and meet performance goals.
· Ensure Seamless Integration Across Workstreams: Collaborate with cross-functional teams to ensure all workstreams are aligned and working efficiently toward project goals. Help remove roadblocks and facilitate smooth handoffs between technical and non-technical teams, ensuring that all processes are optimized for the client’s success.
Service Delivery Management:
· Support Day-to-Day Service Delivery: Collaborate with the Service Delivery Leader to ensure the smooth execution of service delivery activities related to the implementation of client workforce solutions. Ensure that all operational processes align with project timelines and client expectations.
· Collaborate with Development and Operations Teams: Work closely with internal development, operations, and technical teams to ensure the timely delivery of development requests and necessary updates to systems or processes throughout the project lifecycle.
· Coordinate Cross-Functional Collaboration: Ensure the seamless delivery of project requirements by coordinating closely with internal project management, testing, and technical teams, making sure all necessary steps are followed for successful execution.
· Foster Deep Understanding of Business Systems: Develop a strong understanding of the systems and technologies in use within the client’s workforce solution programs, ensuring that you can effectively manage project deliverables and maintain alignment with client needs.
· Support Issue Resolution: Coordinate with internal teams to resolve escalated issues, ensuring a thorough understanding of both the business and technical aspects of the problem. Facilitate the engagement of the appropriate teams to achieve timely and effective resolutions.
· Lead Problem-Solving Efforts: Lead investigations into operational or implementation issues, ensuring that root causes are identified and resolved quickly, while keeping stakeholders informed of progress.
· Promote Self-Support and Training Resources: Encourage end users to leverage self-help resources and knowledge base materials, ensuring that clients and users are equipped to resolve common issues independently.
