Title: Administrative Assistant
Reports to: Operations Director
Position Summary:
The Administrative Assistant plays a crucial role in ensuring the smooth operation of our office. This position provides vital support to various departments, including Government Affairs, Operations, Membership, Forms, Communications, Accounting, and the CEO.
Key Responsibilities:
- Provide administrative support to optimize office efficiency.
- Maintain both physical and digital filing systems.
- Handle incoming phone calls, schedule appointments, manage incoming packages, and assist visitors.
- Learn and utilize our membership database to assist members with inquiries.
- Respond promptly to emails and digital correspondence.
- Enter and update information in databases and spreadsheets.
- Prepare meeting agendas and record meeting minutes.
- Coordinate meeting logistics, including room setup and catering.
- Utilize word processing and presentation software to create and edit documents.
- Operate and maintain office equipment, such as printers, copiers, and fax machines.
- Collaborate closely with colleagues, offering support as needed.
- Ensure deadlines are met and adapt to shifting priorities.
- Organize and file documents for retention and disposal.
- Provide event registration assistance during conferences.
- Perform other duties as assigned.
Qualifications:
-Experience as an administrative assistant, executive assistant, office assistant, or office administrator is also desired.
- Proficient in digital literacy and research, with the ability to assess information reliability.
- Familiarity with standard office software, including Microsoft Office.
- Strong data management and entry skills, with an aptitude for improving filing systems.
- Effective time management, multitasking, and adaptability.
- Exceptional organizational skills.
- Interpersonal skills, displaying a professional and courteous demeanor, with excellent office and phone etiquette.
- Collaborative mindset, actively contributing to the team's success.
- Willingness to adapt to changing situations and job requirements.
- High school diploma required; an associate degree is a plus.
Compensation
This is a full-time (40 hours/week) position compensated at an hourly rate of $18-23, depending upon the successful candidate’s experience and skill set.
