Title: Financial Administrative Assistant

Work Hours: 8:00 a.m. to 5:00 p.m., Monday through Thursday, flexible

Location: Hybrid within the Albuquerque metro area.

Travel: Statewide and Occasional Out-of-State

Supervisor: Chief Financial Officer

Salary: $55,000 - $62,000

Position Purpose and Summary:
We are seeking a detail-oriented and organized Financial Administrative Assistant to support our finance team. This position aims to provide administrative and financial support to ensure accuracy, efficiency, and responsiveness in NMCADV's financial operations and to support special projects that align with the organization's mission. This role requires strong analytical skills, attention to detail, and the ability to work in a fast-paced environment.

Essential Job Functions

Financial Support:

  • Assist with tracking and reporting grant budgets and expenditures.
  • Assist with preparing financial reports, statements, and presentations.
  • Support accurate and timely grant proposal submissions and reporting requirements.
  • Maintain accurate records of expenditures, receipts, and credit card spending.
  • Assist in preparing materials for audits and financial reviews.
  • Ensure timely processing of invoices and payments in accordance with company policies
  • Assist in preparing payroll, reviewing timesheets, and providing staff allocations.
  • Provide relevant financial information to staff as needed.

Administrative Duties:

  • Maintain and organize financial and administrative documents according to retention policies.
  • Maintain inventory of equipment and manage access to online services.
  • Assist with employee benefits administration and maintain accurate employee files.
  • Support coordinating meetings, pieces of training, and events, including preparing materials and managing logistics for finance executives
  • Respond to general inquiries and provide administrative support to leadership and staff.
  • Handle confidential financial and personnel information with discretion.
  • Coordinate with vendors, funders, members, and internal departments for financial matters.

Special Projects:
In alignment with its mission, NMCADV often initiates special projects to support systems change advocacy, including developing public policy, training programs, prevention and intervention services, and quality assurance mechanisms. Under the leadership team's direction, this position will engage in special projects and perform other duties to meet the organization's ongoing needs.

Requirements:

  • Proficiency in financial software (QuickBooks Online, Microsoft Excel).
  • Experience in payroll, payroll tax filing and reporting.
  • Familiarity with accounting principles and financial regulations.
  • Ability to work independently and meet deadlines.
  • Experience with budgeting and financial record-keeping, including grant budgets.
  • Basic understanding of grant and funding requirements.
  • Excellent communication skills, both verbal and written.
  • Strong attention to detail and time management skills.
  • Familiarity with office technology and administrative processes.
  • Experience in a nonprofit environment is preferred.
  • Basic knowledge of domestic violence dynamics is a plus.

Education and Experience:

  • Associate or bachelor’s degree in business, accounting, or a related field (or equivalent combination of education and relevant experience).
  • 1-2 years of related volunteer, internship, or entry-level work experience in communications or advocacy against intimate partner violence preferred.

NMCADV Operates a Virtual Office:
NMCADV operates an entirely virtual office, creating flexibility for employees and our member programs. Employees perform their duties from their home offices or approved remote offices when not attending in-person events.

Travel Requirements:
Travel will be required regularly for site visits and in and out-of-state travel as needed. Travel and per diem will be covered by NMCADV per current travel and diem rates.

Salary / Benefits:
Salary depends on experience. NMCADV offers generous benefits, including health, dental, and vision insurance, life insurance, retirement plans, and sick and vacation leave. It operates Monday through Thursday, 8:00 AM to 5:00 PM, with 32-hour work weeks. Flexibility is offered.
