POSITION CONCEPT :
This position requires strong analytical skills and the ability to use discretion and judgment while performing all tasks. Besides the Senior level duties of independently maintaining the department payroll process and performing administrative duties, as required for the Director, the Management Team and the department, the Lead has the specialized assignment of preparing complex correspondence, often highly confidential in nature and utilizing advanced computer skills. The Lead will have the ability to function as an integral part of the department team, with minimal guidance, to complete diverse and complex tasks.
DUTIES AND RESPONSIBILITIES :
- Handles routine and non-routine external and internal calls, screens visitors, schedules appointments and organizes workload to meet the deadlines and priorities of the Director and Management Team.
- Performs more complex administrative duties to support the Director, Management Team and Staff, such as composing and preparing complex correspondence and other specialized assignments, including maintaining payroll for the department including : Reviewing time for errors and coordinating corrections and close-out to SAP, updating the department on Payroll Department policies and procedures, and creating payroll reports for Managers.
- Assists in the creation of documents, including organization charts, Word documents, Excel spreadsheets and PowerPoint presentations.
- Takes lead on file system management activities including filing requests, records retention, and file audit and clean up.
- Supports accounts payable activities including invoicing, check request, P-Card reconciliation. Coordinate invoicing activities with other departments (Legal, Energy Supply, Electric Delivery, Real Estate, etc.) and outside service providers as applicable.
- Assists with projects, outreach efforts, and conferences which may require overall coordination, planning meetings, material preparation, and assisting with venue selection.
EDUCATION :
Required : High school diploma or GED required.
Preferred : Associate degree from an accredited college / University preferred.
EXPERIENCE :
Required : Minimum of 6 (six) years of related administrative experience in progressively more complex roles / assignments required. A college degree from an accredited institution may be considered in lieu of up to 2 years of the overall related experience.
Preferred : Experience in a utility type environment strongly desired.
KNOWLEDGE / SKILLS / ABILITIES :
Required : Must be able to make decisions concerning prioritizing work and handling administrative questions and problems. Must have strong oral and written communication skills, interpersonal skills, and administrative skills. Must be detail-oriented, communicate effectively and have the ability to interpret and comprehend policies, procedures and instructions. Knowledge of departmental operations, policies, and procedures (i.e. contractual agreements, administrative policies). Knowledge of company budgetary methodology and procedures, and other company policies. Must be able to efficiently use computer hardware and software for spreadsheet design and data manipulation / analysis; produce graphic material and presentations.
