What are the responsibilities and job description for the Executive Assistant-Director's Office position at NEW ORLEANS MUSEUM OF ART?
The New Orleans Museum of Art (NOMA) seeks an exceptional, experienced, personable, full-time Executive Assistant. The Executive Assistant is responsible for providing highly skilled administrative support to the Director and Deputy Director of the Museum, and the NOMA Board of Trustees. The incumbent will be an excellent steward representing NOMA to both internal and external stakeholders.
ESSENTIAL JOB FUNCTIONS
- Complete a broad variety of administrative tasks for the director and deputy director including managing an active calendar of appointments; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; greeting visitors; arranging conference calls; and maintaining contact databases.
- Communications with Trustees’ offices concerning scheduling of Board and Committee meetings.
- Research, prioritize and follow up on incoming issues and concerns addressed to the Director and/or Deputy Director, including those of a sensitive or confidential nature.
- Provides a platform for smooth communication between executive offices and internal divisions, demonstrating leadership to maintain credibility, trust, and support with senior staff.
- Works closely with director and deputy director to ensure they are well informed of upcoming commitments and responsibilities. Follows up appropriately.
- Organizes and produces components of the Director’s Report to the Trustees
- Manages communications related to all aspects of the Director’s responsibilities, which include curatorial, fundraising, publications, and long-range planning projects.
- Organizes and maintains paper and electronic files for the Director’s Office
- Operates current and new office technologies; develops methods for improving efficiency of the Director’s office.
- Manage special projects as designated by the Director.
- Additional duties as required.
MINIMUM QUALIFICATIONS
- Bachelor’s degree or at least seven or more years’ related experience in an executive office environment, preferably in a non-profit setting.
- Exceptional written and verbal communication skills.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Robust people skills and the ability to build relationships with stakeholders, including staff, trustees, external partners, and donors.
- Ability to manage confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
- Highly collaborative and well organized, excellent written and oral communication skills
- Ability to respond effectively to the demands and priorities of the Director.
