What You’ll Do
New Paradigm For Education seeks an experienced, competent and committed Executive Assistant to the Chief of Schools to perform a wide variety of duties that are confidential, technical, complex and varied in nature providing overall support to the office of the Chief of Schools, the Detroit Edison Public School Academy (DEPSA) district and the New Paradigm For Education (NPFE) network. This employee coordinates and provides communication, reports and information to school leaders, district and network partners, the DEPSA Board, and others as related to areas of responsibilities; plans, organizes and coordinates activities pertaining to the Office of the Chief of Schools in a timely manner and ensuring adherence to policies and regulations.
QUALIFICATIONS
Associate’s Degree (Bachelor’s Degree preferred) and previous executive secretary experience or combination of education and experience.
Proficient and demonstrated knowledge and skills in all Microsoft Office products and applications (Excel,Word, Powerpoint, etc)
Proficient in Google Suite
Demonstrated organizational and accurate record keeping skills required
Demonstrated ability to handle multiple tasks, meet deadlines, manage multiple calendars and maintain confidential information while projecting a professional business image.
Excellent oral and written communication skills along with math skills.
Proven ability to establish and maintain good relations with all members of the organization.
Exemplary work and attendance records.
Demonstrate an ability and willingness to learn new systems
Preference may be given to those with additional training or experience in network supported software (i.e. Powerschool).
Ability to learn, understand and apply Board policies.
Other duties as assigned as appropriate to the position.

DUTIES & RESPONSIBILITIES
Supports the Chief of Schools for all administrative tasks related to the efficient operation of the Office of the Chief of Schools.
Gives public notice of all regular meetings of the DEPSA Board.
Provides administrative support to the DEPSA Board including preparation of meeting agenda; preparation / assembly of required materials; keeps full and accurate minutes of all regular meetings of the DEPSA Board and files appropriately; maintenance of official meeting schedules; posting of special meetings; preparation of records; processing reimbursement of business expenses; and coordinating of elections
Prepare a wide variety of reports, documents, and correspondence of a confidential and non-confidential nature.
Prepares all Board Policy Book and Administrative Procedures Handbook revisions
Supports and manages student enrollment and registration and process and the creation of student rosters and schedules
Supports the creation and maintenance of of employee rosters and records for the Wayne RESA (the ISD), Michigan Department of Education (MDE), authorizers, and other entities as needed or required
Responds to a wide variety of calls, concerns and / or complaints for the purpose of resolving problems, providing information, and / or referring to appropriate personnel
Creates and maintains various databases and reports using various technologies
Takes and transcribes dictation of various types, including correspondence, reports, notices, and recommendations
Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form
Serves as FOIA Coordinator
Effectively coordinate and manage projects as assigned by the Chief of Schools and
Maintains a regular filing system, as well as confidential files, and processes incoming correspondence
Support the Chief of Schools and the Board of Education for the purpose of providing assistance with their functions and responsibilities
Orders and maintains supplies as needed
Performs any bookkeeping tasks associated with the specific position
Maintains a schedule of appointments and makes arrangements for meetings, conferences, travel, etc.
Performs the usual office routines and practices associated with a busy yet productive and efficient office
Perform such other related duties as may be assigned by the Chief of Schools
