Summary
We are seeking an Administrative Assistant to join our team at NewPath. Our preference is a highly organized, compassionate, and professional employee to support the daily operations of our therapy office. This role is essential to ensuring a welcoming, efficient, and confidential environment for our clients and therapists. The ideal candidate will be detail-oriented, tech-savvy, and comfortable handling sensitive information. This role is essential in supporting our operations and enhancing the client experience through effective administrative practices.
Responsibilities
Client Support & Front Desk Duties:
- Greet clients in a warm, friendly, and professional manner
- Manage client check-in/check-out procedures
- Answer phone calls, respond to emails, and handle inquiries with discretion and empathy
- Schedule, reschedule, and confirm appointments using practice management software
- Provide basic information about services, policies, and procedures
Administrative Support:
- Maintain and organize client files in accordance with HIPAA guidelines
- Process insurance verifications
- Handle intake paperwork and assist clients with forms as needed
- Maintain office supplies and ensure office cleanliness
- Coordinate with therapists on scheduling, meetings, and administrative needs
Billing & Records:
- Process client payments and issue receipts
- Track sessions and assist with invoicing or insurance reimbursements
- Ensure accurate record-keeping and secure document handling
Technology & Software:
- Utilize Electronic Health Record (EHR) or Practice Management Software
- Troubleshoot minor tech issues related to scheduling platforms, billing systems, etc.
Requirements
- Proven experience in an administrative role, preferably in a healthcare or counseling setting. Prior experience in a medical, mental health, or wellness office strongly preferred.
- Strong organizational skills with attention to detail.
- Excellent communication skills, both verbal and written.
- Proficiency in computer applications, including MS Office Suite, Adobe Acrobat, etc.
- Ability to manage multiple tasks effectively in a fast-paced environment, prioritize, and remain calm under pressure.
