GENERAL DESCRIPTION: The Legal Assistant is assigned to specific attorneys and will be assigned administrative duties as needed by the assigned attorneys. General tasks include telephone and e-mail communication with clients and prospective clients, preparation and filing of pleadings, preparation and mailing of correspondence, opening and closing files, preparation and mailing of invoices, and other duties as assigned. The Legal Assistant is also responsible for answering the main telephone line as assigned by the partners.
GENERAL RESPONSIBILITIES:
Prepare letters, pleadings, and other documents for review by the attorneys.
Assist in contacting clients, securing client information, making appointments, keeping in contact with clients to answer general (non-legal) questions when the attorney is not available.
Open client files, keep files organized, close files, and maintain files on Microsoft Excel.
Conduct conflict checks according to office procedure.
Assist clients in executing documents and act as notary or witness as needed.
File documents with county recorder’s office.
File documents with the court and other government agencies.
Assist other attorneys when requested.
Conduct general client intake by covering main office telephone as assigned by partners.
Other duties as assigned by partners.
KNOWLEDGE, ABILITIES, AND SKILLS: Courteous and professional demeanor; ability to utilize Microsoft Office products; experience in planning and organizing workflow; ability to multitask; ability to type with accuracy and speed; experience in dealing tactfully with the public.
EDUCATION, EXPERIENCE, AND SPECIAL REQUIREMENTS: Associate degree or post-secondary education certificate in an administrative or paralegal program strongly recommended. The position may be filled by a candidate demonstrating an eye for detail, a willingness to be a team player, and a desire to learn. Prior working experience in a legal field is required and prior probate experience is preferred.
SALARY: Commensurate with experience.
