BASIC FUNCTION: As a Front Desk Representative, you will be responsible for receptionist and clerical duties. You will be responsible for incoming inquires, greeting clients, donors, visitors and interacting with the public. The receptionist is the front-line-employee, this position contributes to the public’s perception of New Priorities Family Services, both in person at the front desk and over the phone. He/she maintains a calm, courteous and professional demeanor at all times. The front desk receptionist role is extremely important for improving customer experience and satisfaction. Your goal should always be to make our guests feel comfortable and satisfied while in our office. The front desk receptionist comes in contact with confidential information and must maintain the require business standard of strict confidentiality.

POSITION DUTIES AND RESPONSIBILITIES

· Keep front desk clean, tidy, and supplied with all the necessary supplies

· Greet, welcome clients, and communicate with them in a manner that promotes their feeling of importance to NPFS and present oneself in professional, courteous, engaging friendly, informative, and customer-focused attitude

· Answer all the customers' questions and address their complaints and/or direct them to who can

· Answer all incoming calls and direct calls accurately

· Receive letters, packages, and distribute them to appropriate destination

· Prepare and manage outgoing mail

· Check emails throughout the day / Correspond in a timely manner

· Scan and upload new client personal information (Photo ID, Insurance information, ROI)

· Complete request for client services forms for new client inquiries, log required information, give request for services to the appropriate manager. This task must be completed within 24 hours upon clients request for services

· Document and date all incoming calls which require taking messages and return all calls within 24 hours

· Complete DUII request for services within 24 hours of receiving forms from ADES

· Monitor and update client’s personal information

· Collect Co-pays, Self-pay clients, and other fee’s upon arrival for appointment

· Orderly filing (alphabetical/numerical) and make copies of necessary documentation

· Develop and maintain knowledge about NPFS, our history, and offered programs

· Follow all NPFS policies and procedures

· Other duties as assigned

KNOWLEDGE, SKILLS AND QUALIFICATIONS:

· 2 years of experience as Front Desk Representative or similar role

· High School diploma; any additional diploma will be considered as advantage

· General knowledge of secretarial duties and office procedures

· Skill to maintain a professional, confidential work environment

· Refrain from gossiping in the work place

· Ability to manage multiple tasks in an effective manner

· Able to work effectively in a fast-paced work environment

· Excellent problem-solving skills

· Understand and respond to a diverse population

· Telephone Skills, Verbal Communication, Customer Focus, Informing others

· Professionalism, Customer Focus

· Great interpersonal and communication skills

· Customer-oriented mind set

· Excellent writing, organizational skills, time management, and able to meet dead lines

· Good time-management skills

· Hands on experience with office machines (for example fax, printer etc.)

· In-depth knowledge of office management and bookkeeping

· Excellent knowledge of MS Office (especially Excel and Word)

· Sense of ownership and pride in your performance and its impact on company’s success

· Critical thinker and problem-solving skills

· Handles Pressure / Team player

· Ability to establish and maintain appropriate boundaries with children and families

· Ability to work cooperatively with a culturally diverse client population and work force

Job Type: Full-time

Pay: $20.00 - $25.00 per hour

Expected hours: 40 per week
