The Billing Administrator plays a crucial role in maintaining accurate and up-to-date financial records by updating the accounting platform with issued invoices. This individual is responsible for billing clients on specified platforms, processing and tracking customer billing approvals, and assisting the Supervisor with process changes.
Key Responsibilities:
- Conduct proactive research to identify and resolve billing opportunities.
- Ensure compliance with client guidelines and agreements.
- Generate and issue invoices to customers through spreadsheets or client portals.
- Enter invoice and credit memo data into the accounting platform.
- Assist the Supervisor with compiling information for audits (internal or external).
- Help resolve problems related to aging invoices.
- Perform filing and record-keeping duties, as well as other administrative tasks assigned by the Project Controls Manager and Billing Supervisor.
Requirements:
- A high school diploma or equivalent and at least five years of related work experience.
- Exceptional verbal, written, and presentation skills with the ability to communicate effectively.
- Proficiency in Microsoft products, including Excel and Word.
- Proven ability to work effectively in a team environment.
- Highly organized with strong attention to detail.
- Ability to work under pressure with tight deadlines.
- Ability to multitask and prioritize day-to-day tasks involving financial and administrative functions.
Physical Demands:
This role requires sitting at a desk and working on a computer for extended periods. The employee must be able to see, talk, and hear regularly.
