Position Summary
The Fleet Services Coordinator is responsible for the direct oversight of Fleet services pertaining to Local and Federal DOT compliance and reporting. Additionally, this position transacts and oversees Vista billing imports and works as a special projects administrator as directed. This position reports directly to the Construction Support and Facilities Manager.
Duties/Responsibilities
- Responsible for the oversight and completion of all DOT assets in regard to annual registration, IFTA/IRP Fuel tax submittals/renewals, tracking FMCSA reporting, NYHUT, and other regulatory compliance related concerns.
- Spearhead all Vista/App integrations and data conversions with assistance from IT in regard to equipment internal reporting and billing.
- Aid Construction Support & Facilities Manager in formulating repeatable and accurate reporting of assets and best practices for tracking.
- Work with Fleet Support staff on software pushes/updates relating to work orders, and other program management.
- Assist in the annual compilation of Insurable Asset submittals.
- Import weekly job usage information and CAPEX W/Os via Viewpoint and spearhead solutions when a glitch/problem may arise.
- Oversee company issued fuel cards as well as all GPS/telematic hardware and software and push to garage staff as needed.
- Provide availability to help evaluate and beta test special projects as required.
- There may be occasional limited travel for off-site meetings, events or other business matters.

Qualifications
- High School diploma or equivalent required, associate’s degree preferred.
- Exceptional verbal, written and presentation skills with ability to communicate in an effective manner.
- Strong organizational skill.
- Demonstrated proficiency in MS Office, including Word, Excel and Outlook, Viewpoint Sequel, Crystal reports, and other programming is plus.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external professionals.
- Excellent organizational skills and attention to detail to ensure accuracy of information.
- Ability to multi-task and prioritize day to day operational and administrative functions.
- Strong ability to manage multiple priorities and deliver results within fixed timeframes.
- Resourceful team-player, yet with the ability to effectively work independently.
- Proven ability to handle confidential information with discretion.
- Conducts self in an ethical manner.
