JOB SUMMARY: The Administrative Assistant is crucial in providing comprehensive administrative support to New Settlement's organizing departments, the Community Action for Safe Apartments (CASA), and the Parent Action Committee (PAC). The ideal candidate will be extremely organized, detail-oriented, and able to professionally communicate internally with staff and externally with community members. The Administrative Assistant will manage daily office operations, assist with data entry, maintain organized electronic filing systems, and provide administrative support to CASA and PAC offices.

The Administrative Assistant will manage daily office operations, assist with data entry, maintain organized electronic filing systems, and provide administrative support to CASA and PAC offices.
Job Duties Include But Not Limited To
- Screen telephone calls and maintain a record of messages.
- Manage the program offices and keep equipment clean and ready for use.
- Order office supplies and place food delivery orders as needed.
- Enter attendance records after each meeting into databases.
- Coordinate interpretation and childcare services for scheduled meetings as assigned.
- Maintain electronic filing system and reporting documentation.
- Review interpretation invoices for meeting accuracy and billing.
- Review reporting documentation for accuracy and upload it to the SharePoint site.
- Prepare outgoing mail and assist in the distribution of incoming mail.
- Assist in troubleshooting and contacting sources for technical support and maintenance.
- Attend and contribute to weekly staff meetings as needed.
- Performs related duties.
Q UALIFICATIONS & EXPERIENCE :
- Associate’s degree in a related field.
- 3 years of related work experience.
- Excellent interpersonal, organizational, multi-tasking, time management, and communication skills required.
- Thorough knowledge of computers (especially MS Office suite) and office equipment.
- Strong written, typing and verbal communication skills.
- Ability to work effectively with others.
- Bilingual (English/Spanish) a plus.
- Must possess the ability to maintain confidentiality and use appropriate discretion.
- Must be able to work holidays as needed.
- Must be cleared and maintain clearance throughout duration of employment by NYC DOE fingerprinting.

- Must be able to utilize office equipment such as desktop/notebook computers, copiers, printers, scanners, telephones, and calculators.
- The noise level in the work environment is usually moderate.
