DEPARTMENT FUNCTION
The Membership Department administers a database of over 23,000 active members (including 4,000 committee members). The Department is responsible for membership customer relations, email communications, database maintenance, dues installment payment plan, member recruitment, retention and engagement, statistics and reporting, dues billing and follow-up.
The Marketing Department develops and implements, in cooperation with the relevant departments, events, marketing and advertising strategies which promote membership in the Association, awareness and growth in the various Association programs.
JOB FUNCTION
The Membership Coordinator is responsible for processing new member applications and all correspondence related to new and returning members. This role oversees all work related to the installment payment plan for members by working closely with our Customer Relations and Finance departments. The Membership Coordinator position is critical for our efforts in promoting, growing, and retaining membership by supporting efforts with prospect outreach, contact research, and support with Association events, programs, and services.

Starting salary for this role is $46,000-$48,000 annually (dependent on experience) based on a 35-hour work week, plus additional pay for overtime.

- Responsible for accurate data entry of new member applications, updating member records as needed, and applying payments into membership database
- Coordinate communication of welcome emails and new member information
- Process returned mail and research member contact information to ensure the accuracy of database records
- Respond to and resolve membership inquiries and issues via phone and email in coordination with Membership Dues Manager and Customer Relations
- Assist Customer Relations on the phone and in-person for specific events and membership dues payments periods throughout the year
- Oversee dues installment payment plan by enrolling new members to this service; send enrollment information to Finance and follow up with participants as needed to maintain up-to-date payment information
- Helpprepare prospect lists, send prospect emails and follow-up with prospect outreach calls
- Lookfor new ways to streamline and improve administrative processes relating to membership and sales prospects
- Prepare membership materials as needed. Set up badges, tent cards and work registration at events by representing the Association
- Assist in maintaining Membership and Marketing Department displays throughout the building
- Create membership applications based on current promotions
- Assist with maintaining the members-only community portal
- Workclosely with Business Development & Sponsorships Manager to support lead generation research support for prospective sponsors
- Manage inventory of office and event supplies, reordering when needed. Work closely with Committee Membership, Finance, Customer Relations, and Finance Department on membership issues
- Perform other duties as assigned
- Associate level degree or higher, or equivalent experience
- Minimum 1 year ofrelevantwork experience (internships will be acceptable)
- Self-motivated, able to assume responsibility and work autonomously in a professional manner
- Excellent communication skills, both verbal and written
- Strong data entry skills with the aptitude to accurately enter and change data in our membership database
- Strong organizational skills, detail-oriented, adherence to deadlines, and solid judgment
- A desire and ability to provide excellent customer service
- Work effectively in a collaborative environment
- Working knowledge of customer relationship management (CRM) systems and Microsoft Office systems (Microsoft Access and Microsoft 365 a plus)
