CJA is the City's main pretrial services agency, combining operations, pilot projects, and research under one roof. POSITION SUMMARY
The Onboarding & Engagement Coordinator will play a pivotal role in shaping the onboarding standards across the Agency and fostering a positive workplace culture. Under the direction of the Talent Acquisition & Engagement Manager, you will be responsible for designing, implementing, and facilitating a robust new hire orientation that will cultivate a sense of inclusion and belonging. Additionally, this role will partner with various subject matter experts, hiring managers, and other stakeholders to identify training needs, develop customized resources, facilitate integration into specific job roles, and ensure a seamless onboarding experience.

PRIMARY RESPONSIBLITIES
New Hire -Preboarding & Onboarding
- Generate official offer letter, initiating preboarding and monitor process to completion
- Create an onboarding checklist, including pre-boarding activities, orientation, training, and integration into the team.
- Craft and send a comprehensive welcome email to new hires with information related to their department (e.g., account logins, organizational chart, CJA position summaries, etc.).
- Thoroughly verify and ensure the accuracy of all employment documents.
- Follow up with new hire regarding any outstanding employment documents.
- Manage the pre-hire checklist within Paycom and ensure that all the information is up to date.
- Serve as the primary point of contact for new employees throughout their onboarding journey. Facilitate the People & Culture new hire orientation sessions focusing on CJA's mission/vision, policies/procedures, HRIS training, and employee benefits.
- Collaborate with other departments/training specialists to identify onboarding needs specific to each specialty/function and ensure there are uniform orientation programs.
- Work closely with hiring managers/department leaders to design and implement personalized onboarding programs tailored to specific job roles.
- Conduct new hire surveys and 30-, 60-, and 90-day check-ins, to collect valuable feedback and ensure new employees feel supported.
- Establish remote buddy programs to pair new hires with experienced employees who can help them integrate into CJA's culture.
- Analyze data and metrics related to onboarding effectiveness and make data-driven improvements.
- Liaise with the IT department to set up new employees with equipment (i.e., laptop, cellphone, etc.).
- Assign sexual harassment prevention anti-harassment trainings.
- Collaborate with the manager to draft an agency-wide welcome email.
- Welcome new employees upon their arrival and give them an office tour (Central Office Only).
- Coordinate onboarding programs for recently promoted or lateral transfers guiding them through any orientations and development plans.
- Prepares and distributes onboarding welcome gifts.
- Drive employee engagement programs centered around increasing morale, sustaining retention levels, and fostering an inclusive workplace.
- Plan and execute employee engagement activities (e.g., holiday socials, potlucks, etc.) at the central office that will foster a sense of belonging.
- Provide logistical support for engagement events and initiatives to CJA's satellite locations.
- Issue and analyze quarterly pulse surveys and annual employee satisfaction surveys.
- Track and monitor employee engagement metrics and provide a year-end report on any trends or insights.
- Aid the Talent Acquisition & Engagement Manager with retention strategies and initiatives.
- Perform additional duties as assigned to support the People & Culture team.
- Bachelor's degree in Human Resources Management, Organizational Development, Education, Educational Leadership, Business Administration, or a related field preferred.
- Two (2) years of proven work experience designing and delivering impactful in-person or remote onboarding training sessions.
- Sound knowledge of all HR principles, employment laws, and onboarding best practices.
- Hands-on experience with Human Resources Information Systems (e.g., Paycom) is preferred.
- Proficiency in Microsoft Office (Word, Excel, & PowerPoint).
- Skilled communicator (verbal and written) and ability to work across numerous departments.
- Strong presentation skills with the ability to develop team trust.
- Strong time management, organizational, and multitasking skills.
- Strong interpersonal skills and the keen ability to build rapport with diverse colleagues and stakeholders.
