JOB TITLE: CITC Operations & Programs Administrator
REPORTING TO: Manager, Program Development & Operations, Community
LOCATION: New York, NY
POSITION OVERVIEW:
The CITC Operations & Programs Administrator is responsible for providing operational and administrative support for City in the Community Foundation (CITC), New York City FC's key Community Impact Cornerstone. The Administrator will work closely with the Manager, Program Development & Operations, to improve key processes, build capacity, and support the team in strengthening CITC’s community impact. This includes overseeing program administration, managing communications, supporting recruitment and partnerships, and coordinating internal and external opportunities to foster collaboration and growth.
WHAT YOU’LL DO:
- Provide administrative support for core programs and projects, including permitting, invoicing, and scheduling.
- Manage the CITC Programs Inbox, responding promptly to internal and external stakeholders.
- Oversee onboarding processes for part-time CITC staff, including orientation and documentation.
- Curate and distribute a monthly newsletter to CITC’s partner network, highlighting key updates and opportunities.
- Create one-pagers, capacity-building documents, and other materials to support program implementation and design.
- Coordinate equipment orders and provide operational support for CITC programs and events.
- Attend and support regular CITC meetings, taking minutes and ensuring follow-up on action items.
- Maintain communication with program site providers, offering monitoring, evaluation, and ongoing support.
- Assist with recruitment strategies for schools, program venues, and new community partnerships.
- Help identify and establish relationships with schools, community centers, and other program delivery sites.
- Support the planning and execution of semi-annual CITC Career Expos.
- Coordinate internal and external opportunities across the organization, fostering collaboration and community engagement.
- Collect and organize data for the CITC Annual Report and fundraising efforts.
- Take on any task assigned by the Manager, Program Development & Operations, to support team priorities and ensure program success.
WHAT YOU’LL BRING:
- Bachelor’s degree in a relevant field (e.g., Sports Management, Education, Community Development) or equivalent experience.
- Proven experience in program coordination, community engagement, or related fields.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills, with the ability to manage multiple stakeholders.
- Ability to work independently and collaboratively within a team.
- Passion for community development, youth engagement, and CITC’s mission.
- Proficiency in Microsoft Office Suite and other administrative tools.
- A willingness to learn, grow, and contribute to strengthening the operational side of CITC’s programs.
ADDITIONAL REQUIREMENTS:
- Applicant must comply with MLS Next Safety and Well-Being policies, as well as any applicable child safety policies.
- Residence in New York City and familiarity with its neighborhoods, communities, and culture.
COMPENSATION:
This non-exempt position has an estimated annual base salary range of $45,000-50,000 and is overtime eligible. Final compensation offer amounts are based on a wide array of factors unique to each candidate, including but not limited to demonstrated skill set, years and depth of relevant experience, and some role-dependent factors such as certifications and software expertise.
