DEPARTMENT: Infrastructure Services

REPORTING TO: VP, Infrastructure & Facilities Management - Americas LOCATION: NYC (In office with occasional travel to other NYCFC locations)


POSITION OVERVIEW:

The Office Manager is responsible for the management and delivery of all office services and processes that support the operation of the Manhattan Office, while ensuring exceptional organizational effectiveness and efficiency consistent with that of the wider group (CFG) facility management standards. A key element of the role is to ensure the highest standards of safety and operational support for NYCFC’s employees and guests at all times.


The role will oversee all activities related to the office space and will be required to stay updated with all building related code requirements whilst working as part of the club’s Infrastructure team to develop, implement and evaluate all facility management policies, procedures and functions.

This position is required to interface exceptionally well with all local and group (CFG) employees, external parties including contractors, partners and general guests to promote the business in a positive, professional manner at all times. The role also includes supporting the VP, Infrastructure & Facilities Management with special projects.

WHAT YOU’LL DO:

  • Oversee day-to-day operations of the 30th and 17th floors, including coordinating events, supervising maintenance activities, managing access control, and enforcing health and safety protocols. Utilize independent judgment to resolve complex issues and ensure smooth operations.
  • Ensure office supplies and equipment are procured in line with NYCFC’s policies. Maintain data security, integrity, and confidentiality.
  • Maintain office assets by scheduling repairs, improvement works, and services. Liaise with the IT department to swiftly resolve office-related issues, providing front-line support to staff.
  • Drive sustainability efforts by tracking, reporting, and researching local changes to enhance efficiency. Act as a liaison with the parent company to implement sustainable initiatives, prioritizing and implementing strategies for maximum impact.
  • Ensure efficient delivery of facilities management services, including cleaning, front-of-house operations, health and safety compliance, catering, maintenance, security, and energy management. Set and monitor performance indicators, driving improvements in service quality.
  • Assist in inducting and educating new NYCFC employees by administering necessary documents and manuals, ensuring smooth assimilation into the workplace culture.
  • Formulate and implement office policies, procedures, daily checks, and standards to support efficient office operations. Regularly review and update policies to ensure compliance and adherence.
  • Manage the office budget in accordance with NYCFC’s financial policies and procedures, ensuring efficient allocation of resources to meet operational needs.
  • Support project management efforts for construction projects, ensuring timely execution and alignment with organizational goals.
  • Exercise discretion regarding access to sensitive or confidential information.
  • Ongoing evaluation of key contractors and vendors.
  • Implement office health and safety policies, procedures, and auditing, ensuring relevance, currency, and adherence. Conduct regular audits, fire risk assessments, and inspections, implementing recommendations to maintain a safe working environment.
  • Serve as the primary point of contact for emergency management protocols, ensuring adherence to health and safety standards for maintaining a secure work environment. Provide guidance and direction to staff members as needed.
  • Serve as the office key holder and participate in an emergency call-out team to ensure office availability and maintain a secure working environment during emergencies.
  • Work with infrastructure teams at other NYCFC sites to ensure consistency in operational procedures, particularly at the first-team training facility.
  • Provide comprehensive management and oversight of a 4,000 square foot storage space in Manhattan, optimizing storage space and resources for efficient organization and accessibility of stored items.
  • Manage office screen communications.
  • Assist with special projects within Facilities or Infrastructure.


WHAT YOU BRING:

  • Bachelor’s degree in facilities management or related field or equivalent experience.
  • 2-4 years’ experience in facility management or office administration.
  • Strong communication, organizational, and interpersonal skills.
  • Proficiency in MS Office suite and knowledge of health and safety regulations.
  • Ability to adapt to changing conditions, prioritize tasks, and suggest improvements.
  • People management skills and ability to maintain constructive relationships.
  • Flexibility to work occasional weekends and holidays, and at other NYCFC facilities if needed.


ADDITIONAL REQUIREMENTS:

  • Applicant must be able to comply with MLS Next Safety and Well-Being policy and any other applicable child safety policies provided to applicants by NYCFC
  • Ability to work flexible hours, including evenings, weekends and holidays, as necessary
  • Must be able to lift and carry at 50-pound boxes regularly, work in confined spaces and in proximity to loud equipment.
  • Must be able to see and respond to dangerous situations and sudden sounds.


COMPENSATION:

This exempt position has an estimated annual base salary range of $65,000-$70,000 and is not overtime eligible. Final compensation offer amounts are based on a wide array of factors unique to each candidate, including but not limited to demonstrated skill set, years and depth of relevant experience, and some role-dependent factors such as certifications and software expertise.
