Part-Time Facilities Associate

Location: New York, NY

The Facilities Associate is responsible for the safe, effective, and economical daily operation of the New York Common Pantry’s building, including the outside perimeter; the building’s mechanical equipment; maintenance of office and common spaces; minor repairs; preventive maintenance work; and remaining on-call to respond to emergency situations before, during and after normal business hours.

The Facilities Associate will report directly to the Facilities and Operations Manager. The position will be located at the NYCP Food Warehouse and Distribution Hub location at 1285 Oak Point Avenue. This position will move regularly to the East Harlem location at 8 East 109th Street, New York, NY 10029, as well as occasional travel to other NYCP office locations at 788 Southern Blvd and 1290 Hoe Avenue in the Bronx. The schedule for this position is Monday through Friday, 8 AM - 6 PM, with varying start and end times, as per the needs of NYCP. This is a part-time, non-exempt position, 28 hours per week, including some weekends.

Responsibilities:

  • Manage building maintenance, including HVAC systems, boilers, machinery, equipment, lighting, electrical systems, vehicles, and furnishings. Ensure safety, cleanliness, and a pleasing appearance while meeting program and operational needs.
  • Inspect the building from the basement to the second floor, including roofs and grounds. Address any required cleaning or repairs and ensure compliance with fire and building codes at all times.
  • Conduct building repairs and improvements, including painting, machinery and equipment maintenance, plumbing, lighting, and electrical work. Inform the Managing Director of Programs and the Managing Director of Operations immediately when major repair work is needed.
  • Maintain and clean all offices and common areas in the building that are not food-related.
  • Collaborate with the Food Programs Manager, and ensure that Operations Associates bring repairs to the attention of the Facilities Associate promptly.
  • Manage all maintenance and service contracts for the building, including elevator, HVAC, Fire Alarm System, and Sprinkler System.
  • Conduct bidding for large repairs, maintenance, service contracts, and leasehold improvements.
  • Produce and maintain a log of all repairs and maintenance requests and completion of requests identified by NY Common Pantry staff and those identified by other users of the building, and work with the Director of Programs & Operations to ensure that necessary work is completed.
  • Keep all doors and locks in good condition, and keep an updated staff list with keys to New York Common Pantry entrances.
  • Oversee daily trash removal by Operations Associates, ensuring proper handling and compliance with recycling laws.
  • Adhere to Fire Department regulations by keeping fire alarms, sprinkler systems, and extinguishers in working order, inspecting for fire hazards, conducting fire drills, training fire wardens, and passing the annual Public Assembly inspection.
  • Comply with Department of Buildings and Department of Environmental Protection regulations, including elevator inspections and annual backflow protection device testing.
  • Other responsibilities as assigned.

Qualifications:

  • A minimum of three (3) of experience in building maintenance is required.
  • Understanding of plumbing, electrical, and carpentry; Knowledgeable with repair and general maintenance of HVAC systems.
  • Flexible availability, including the ability to work evenings, and weekends, and respond to emergency calls as needed.
  • Highly responsible, detail-oriented, and proactive in identifying and addressing maintenance needs.
  • Certifications in Fire Alarm Systems (S95), Standpipe Systems, Sprinkler Systems, and Low/High PSI Oil Burners are strongly required.
  • Excellent communication and customer service skills, with the ability to work effectively with staff and contractors.
