What are the responsibilities and job description for the Assistant to Director of Operations position at New York Region?
Director of Operations Assistant primarily supports the Director of Operations in managing day-to-day operational tasks, including administrative duties, data analysis, project coordination, staff support, and ensuring smooth execution of company processes, ultimately contributing to overall operational efficiency and goal attainment, reporting directly to the Director of Operations. This role requires coordination and collaboration with other members of the operations department.
Key Responsibilities:
· Operational Support:
o Assist with data analysis and reporting on key operational metrics.
o Monitor and track project progress, identifying potential roadblocks.
o Coordinate cross-functional teams to ensure project completion.
o Help implement new operational procedures, policies and contract work.
o Analyze operational data to identify areas for improvement and suggest solutions.
o Assist districts with incoming forecast concerns to help them make weather related decisions.
o Maintain FTA and RTD and random testing schedules.
o Track critical compliance issues and act when needed.
o Attend customer meets and trainings as required.
o Provide weekly department reports.
Staff Support:
o Provide support to the terminal managers, assistants, and assist them in resolution of customer, employee, technology issues and concerns.
o Assist with onboarding new employees and compliance materials.
o Coordinate team meetings and events.
o Coordinate with Safety, Training, Human Resources, Accounting, and Compliance department to meet the needs of their departments.
o Work with shop, and other Beacon entities to ensure needs of contracts are met.
o Assist with payroll and billing set up, maintenance and issue reviews.
o Manage employee time and attendance records.

· Budget Management:
o Track operational expenses and identify cost-saving opportunities.
o Assist in preparing operational budgets.
Required Skills:
- Strong organizational skills: Ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills: Clear and concise verbal and written communication.
- Analytical skills: Ability to interpret data and identify trends.
- Proficiency in Microsoft Office Suite: Excel, Word, PowerPoint
- Project management skills: Ability to plan, execute, and monitor projects
- Attention to detail: High level of accuracy in work
- CDL Required, 19a & SBDI Certifications preferred.
Job Type: Full-time
Pay: $85,000.00 - $95,000.00 per year
