ASSOCIATE, ADVANCEMENT SERVICES
The Public Theater is seeking an organized, attentive, communicative, and collaborative ASSOCIATE, ADVANCEMENT SERVICES. This role is responsible for supporting the Advancement Services team and the entry and maintenance of contributions in the Tessitura database. They work with members of the team on gift accounting, financial, and database management tasks. This position also supports overall Tessitura data management by creating and updating records, generating reports and lists, and assisting with department training for gift tracking systems.
This role is full-time and is hybrid, with expectations that in a typical week on-site attendance will be on Tuesday, Wednesday, and Thursday. Occasionally there will be an evening or weekend commitment with donor events.
The ideal candidate will be incredibly attentive to detail, especially in regards to data entry and database management. The best candidates for this position will possess effective written and verbal communication skills and exemplary customer service.

KEY RESPONSIBILITIES :
Gift Processing and Acknowledgement :
- Coordinate the accurate and timely entry of gifts, pledges, pledge payments, and recurring charges from multiple channels in Tessitura.
- Analyze gift details when processing contributions to ensure tracking procedures are maintained upon entry.
- Manage gift processes, pledge reminders, and invoices for all outstanding pledges and recurring gifts to ensure payments are received by anticipated due dates.
- Track on bank activity and expected incoming gifts and follow-up as needed.
- Maintain communication with donors and internal teams to acquire supporting pledge documentation; invoice and acknowledgment preferences; updated payment details; and other information as required.
- Prepare, verify, and process corporate matching gifts for submission to the matching gift entity; maintain a procedure for tracking forthcoming matching funds and follow up with donors / companies as needed.
- Support the generation of acknowledgement receipts and cover letters for gifts and pledges as needed.
- Participate in onsite check deposit processes.
