ASSOCIATE, ADVANCEMENT SERVICES

The Public Theater is seeking an organized, attentive, communicative, and collaborative ASSOCIATE, ADVANCEMENT SERVICES. This role is responsible for supporting the Advancement Services team and the entry and maintenance of contributions in the Tessitura database. They work with members of the team on gift accounting, financial, and database management tasks. This position also supports overall Tessitura data management by creating and updating records, generating reports and lists, and assisting with department training for gift tracking systems.

This role is full-time and is hybrid, with expectations that in a typical week on-site attendance will be on Tuesday, Wednesday, and Thursday. Occasionally there will be an evening or weekend commitment with donor events.

The ideal candidate will be incredibly attentive to detail, especially in regards to data entry and database management. The best candidates for this position will possess effective written and verbal communication skills and exemplary customer service.

KEY RESPONSIBILITIES :

Gift Processing and Acknowledgement :

  • Coordinate the accurate and timely entry of gifts, pledges, pledge payments, and recurring charges from multiple channels in Tessitura.
  • Analyze gift details when processing contributions to ensure tracking procedures are maintained upon entry.
  • Manage gift processes, pledge reminders, and invoices for all outstanding pledges and recurring gifts to ensure payments are received by anticipated due dates.
  • Track on bank activity and expected incoming gifts and follow-up as needed.
  • Maintain communication with donors and internal teams to acquire supporting pledge documentation; invoice and acknowledgment preferences; updated payment details; and other information as required.
  • Prepare, verify, and process corporate matching gifts for submission to the matching gift entity; maintain a procedure for tracking forthcoming matching funds and follow up with donors / companies as needed.
  • Support the generation of acknowledgement receipts and cover letters for gifts and pledges as needed.
  • Participate in onsite check deposit processes.

Database Maintenance :

  • Maintain accurate movement of contributed revenue projections values.
  • Add new constituent records to the database for gift processing procedures and analyze information from gift support to populate all appropriate data fields.
  • Support reports and list pulls, extractions, and other data / reporting requests for contributed revenue in Tessitura.
  • Participate in donor- and gift-related data hygiene and quality control, including reviewing the coding of sources and appeals for solicitations in Tessitura.
  • Reinforce the accuracy and maintenance of gift form submissions from all giving areas.
  • Department Support :

  • Maintain and update documentation on database standards for gift accounting in the interest of consistent database management.
  • Support membership and benefit testing for database clients and web for performances and special events.
  • Assist Development department teams in preparing and mailing renewal and acquisition efforts throughout the year.
  • As needed, assist the Special Events team at donor events throughout the year.
  • SKILLS, EXPERIENCES, and QUALIFICATIONS :

  • Strong computer skills and experience with Tessitura, Raiser’s Edge, Salesforce, or similar fundraising / CRM database; proficiency in MS Word and Outlook, and advanced Excel knowledge.
  • Ability and desire to work cooperatively with others and foster teamwork.
  • Excellent communication skills in both written and oral formats.
  • Experience and particular aptitude for disciplined inputting and tracking of information.
  • Exceptional organizational skills, with the ability to manage time appropriately, set priorities and tasks, and work efficiently.
  • Compensation :

  • Salary for this position starts at 50k annually.
