JOB DESCRIPTION:
Office of progressive Assembly Member seeks an Community Outreach Coordinator for a high volume, active district office serving the City of Buffalo and portions of Lackawanna, the Village of Blasdell, and the Town and Village of Hamburg. The Community Outreach Coordinator role includes pitching ideas for events, developing and executing community engagement opportunities, constituent casework, and project management districtwide. The Community Outreach Coordinator reports to the Chief of Staff and will take the lead role in the development, logistical management, and production of large- and small-scale special events throughout the district.
ESSENTIAL RESPONSIBILITIES
1. Create community engagement opportunities for staff and members to provide services and offer resources to residents
a. Proactively seeks opportunities for collaboration districtwide through knowledge of community needs, organizations, and current events;
b. Provide on-site logistical support to lead event planners, this includes coordinating set-up, managing event materials, check-in process, assisting with production elements and timing, communicating with venue and catering staff to ensure flawless flow, managing breakdown, and overall troubleshooting.
c. Oversee event debrief documentation by collecting and recording data and evaluation of events from external partners, senior admin, and the internal team.
d. Order supplies and audiovisual equipment, manage RSVPs, respond to team inbox and answer main line, draft event briefings, and make necessary travel arrangements to event locations. The Coordinator will also manage post-event follow-up, including but not limited to, generating thank you notes and archiving event files.
e. Conduct research, make site visits, and identify opportunities for improved operations and service excellence, making recommendations for consideration.
f. Serve as liaison with community partners on event-related matters and perform other related duties as assigned.
g. Commitment to innovation; eagerness to share ideas on how to improve services provided and event quality.
2. Assist with the operation of two district offices
a. Have a collaborative attitude and work with other staff, interns, government partners, and community groups on various projects, events, and issues
b. Works well with variant changes to workflow and office needs;
c. Works a flexible schedule including meetings and events outside typical office hours, i.e. evenings and weekends as needed and off-site via their own reliable transportation; and
d. General administrative responsibilities such as, answering phones, management of the Member’s emails and writing letters of support.
e. Responsible for friendly and timely responses to phone calls, emails, meeting with constituents, verbal communications with constituents, and serving as a liaison with state, district, and local agencies;
f. Informs the Assembly Member and the Chief of Staff of all happenings in his or her assigned issue areas by screening district media sources and interacting with constituents; and
g. Has the temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner while exercising discretion and independent judgment in fulfillment of casework responsibilities in a public office.
QUALIFICATIONS
Preferred candidates will hold a Bachelor’s degree and have a minimum two (2) years experience working in community services, a government office, nonprofit sector, or adjacent field. The right candidate will feel comfortable and take initiative to partner with other community leaders and elected offices to achieve the Assembly Member’s constituent outreach goals. The Assembly Member is looking for an Community Outreach Coordinator who is committed to public service and has good judgement, political sensitivity, and an enthusiasm for a highly collaborative work environment. The right candidate has a positive attitude and thrives in an environment where things change quickly and we must use problem solving skills to adjust as necessary. Experience working in event planning is helpful.
