Duties Description
The Parks and Recreation Aide 5 will be primarily focused on performing administrative tasks within the Mid-State District at the direction of either the District Manager or Assistant District Managers. Relevant job duties for the position include but are not limited to the following.
Job Duties
Duties will include but not be limited to:
- Answer general travel questions.
- Assist District Manager, Assistant District Managers and District staff with pre-travel and post-travel paperwork, including reserving hotel rooms and fleet vehicles as needed, and submitting travel reimbursement in SFS.
- Scheduling meetings and interviews, and generally maintaining the calendars for District and Assistant District Managers.
- Manage and track District administrative budget.
- Distributing meeting agendas and recording and distributing meeting minutes for District meetings.
- Maintain working knowledge of meeting room equipment and its use, answer questions and assist users with issues, when appropriate.
- Miscellaneous administrative office tasks, such as shared equipment issues, i.e. printers, copiers, etc.; purchase and storing of supplies; purchase of business cards; scanning, archiving, organizing of files both hardcopy and electronic; and maintaining an organized office environment.
- Reconcile purchasing cards for District staff.
- Manage SharePoint site and folder access.
- Work with local admin team to schedule bid openings, consultant debriefings, consultant interviews, etc. as necessary.
- Monitor and triage shared mailboxes and physical mail.

- Relevant experience in an office setting, preferably in an administrative role.
- Excellent organizational skills, ability to prioritize, and comfortable working independently.
- Proficient computer skills including with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Sharepoint, Microsoft 365 etc.)
- Strong attention to detail.
- Strong communication and interpersonal skills.
- Telecommuting available (up to 50%) upon approval by supervisor.
- Position will tentatively begin in June 2025
