Duties Description
Field calls and written inquiries from potential Trooper Exam applicants.
Manage the Recruitment Outlook email account and detail phone line.
Assist applicants with the application process, inclusive of technical support and knowledge of hiring guidelines.
Review of military documentation for the purpose of determining eligibility for veterans' preference points, inclusive of disabled veterans' preference points and updating the military supplemental exam list.
Handle logistical concerns relative to testing venue assignment for applicants.
Review of reasonable accommodation requests and waiver of application fees.
Follow-up correspondence with applicants categorized as a "no-show/cancellation".
Serve as a liaison between Sworn Member Hiring Unit and the Division Headquarters Recruitment team inclusive of the Captain-Recruitment and Technical Sergeants-Recruitment and assigned Troop Recruiters in addition to other assigned personnel.
Serves as the central liaison point of the New York State Police for other Law Enforcement Agencies in the resolution of employment and human resource issues.
Communicate with personnel and various outside Law Enforcement Agencies to exchange confidential information in accordance with the NYSP Rules and Regulations.
Conduct and manage Criminal History checks in the NYS Portal for Trooper Applicants. Maintain Divisions NYS Ejustice Portal control point for arrests reports of current or former members.
Establishes, updates, and maintain Sworn Member Hiring files, inventories, and records; implements and maintain data management systems, as required.
Supervise and manage inventory of Sworn Member Hiring office supplies, Trooper Candidate Processing supplies and Trooper Candidate Medical Processing supplies.
Monitors and supervise member hiring Office Outlook Mailboxes and responds to inquiries from Applicants and other government agencies.
Prepare and edit correspondence and documents for the Lieutenant and Human Resource specialists.
Monitor and evaluate data, as instructed; for deficiencies and assist in
correcting problems identified.
Develop and maintain methods of data compilation.
Assist in the review and evaluation of a variety of records that are specific to the assignment.
Provides administrative assistance with faculty and/or staff searches, as appropriate, to include logging employment applications, preparing applicant acknowledgements and interview documents, coordinating interview logistics, and coordinating search documentation.
Maintain accurate files of work completed and pending matters to ensure efficient operation and ability to retrieve materials as needed. Review and update subject files.
Prepare and maintain Microsoft Excel spreadsheets for candidate tracking and organization purposes.
Assist in activities/ setup for Trooper Candidate Processing and Trooper Candidate Medical Processing and Trooper Recruit Academy Orientation, compiling necessary data, document preparation and telephonic communication with Candidates.
Additional duties as assigned by the Technical Lieutenant - Sworn Member Hiring.
Qualifications
Minimum Qualifications
Two (2) years permanent service as a New York State employee in a title allocated Salary Grade 6 or higher,
OR
One (1) year permanent service as a New York State employee in a title allocated Salary Grade 9 or higher,
OR
High School diploma and two years of experience in an administrative support role, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or management of an office.
