Job Summary
The NCCA-Artsplace/Dogwood Center Operations Coordinator will assist the Executive Director and staff in the day-to-day operations and administrative tasks of NCCA-Artsplace and Dogwood Center, and help with other needs and priorities to fulfill our missions. The Operations Coordinator will wear multiple hats from being strategic to working on administrative tasks.
Responsibilities
- assists Executive Director in agency budgeting and financial management activities in order to ensure necessary funds are secured and expended correctly
- ensures that administrative tasks are accomplished efficiently and effectively assist Executive Director in maintenance of financial internal controls
- provides general accounting support
- orders and maintains office supplies, materials, and collateral support materials in a cost-effective manner and within budget
- shares responsibility for maintaining a presentable, safe, and pleasant facility environment
- assists and supports other staff in the publicity, promotion, and social media of NCCA-Artsplace and Dogwood and the organization’s programs, ensuring positive customer and participant service
- assists other staff in coordination and collaboration with area art providers, organizations, and businesses
- assists Executive Director with organization’s membership development
- provides guidance and supervision of non-paid interns and volunteers
- assist other staff in maintaining facility(s) usage and staffing schedules
- oversee and maintain the point of sale system, reporting, and inventory of consignment and exhibit artwork sales
- shares responsibility in maintaining the ticketing system and Box Office
- opens and closes facility when scheduled. Evening and weekend hours may be assigned
- provides support to instructors, artists, performers and vendors as needed
- ensure positive customer and participant service
- acts as a resource to other area service providers and the general public whenever possible
- acts as a back-up to a variety of staff positions following cross-training
- other responsibilities and duties as assigned by the Executive Director
Qualifications
- excellent detail orientation with strong organization and planning skills sufficient to execute multiple projects with tight deadlines
- strong computer, technical skills, and use of social media
- experience in management or operations role for a non-profit organization or similar professional setting
- BA/BS degree, or year over year working experience in related field preferred
- understanding of general finance and accounting
- ability to work flexible hours, with some evenings and weekends required
- ability to use phone, email, computer applications, and other office equipment
- experience using a point of sale and/or ticketing system preferred
- excellent written and verbal communication skills with strong interpersonal skills and team player orientation
- positive attitude and outgoing personality
