Pay range: $90k-$135k
The Leave of Absence Administrator plays an essential role in managing employee leave requests, ensuring that these are processed in accordance with company policies and relevant labor laws. This position acts as a liaison between employees and management, providing clear communication and guidance on the leave process. The leave administrator oversees the administration of various types of Federal and State leaves, including but not limited to medical, personal, and family leave. Must have strong knowledge and expertise of California leave laws with the ability to learn and oversee other states' leave laws based on organizational footprint.
What You Will Be Doing:
- Serve as the primary point of contact for employees, managers, and third-party vendors regarding leave-related inquiries.
- Provide clear and consistent communication to employees regarding their leave eligibility, rights, and responsibilities.
- Assist employees in understanding the leave process, required documentation, and timelines.
- Keeping accurate records and ensuring that all parties are informed of an employee’s leave status, contributing to the smooth operation of the organization’s HR functions.
- Manage the leave of absence process, including initial claims, ongoing case management, and return-to-work coordination.
- Ensure compliance with all federal, state, and local leave laws (e.g., FMLA, ADA, state-specific leave laws).
- Conduct regular audits of leave cases to ensure accuracy and compliance.
- Collaborate with HR, payroll, and benefits teams to ensure accurate tracking and processing of leave-related pay and benefits.
- Work closely with managers to facilitate smooth transitions for employees going on leave and returning to work.
- Liaise with third-party administrators, insurance carriers, and legal counsel as necessary.
- Stay informed about changes in leave laws and regulations and update company policies and procedures accordingly.
- Provide training and guidance to managers and employees on leave-related topics

What Sets You Apart:
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred
- Minimum of 2-3 years of experience in HR, with a focus on leave administration and compliance
- In-depth knowledge of FMLA, ADA, workers' compensation, and other relevant leave laws
- Experience with HRIS systems and leave management software
- Ability to handle sensitive and confidential information with discretion
- Ability to resolve issues at the lowest level possible and knowledge of when to escalate issues as appropriate
- Ability to build key relationships as a trusted communicator for all levels of employees
- Ninja at multi-tasking, managing multiple priorities, and shifting gears quickly
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Multi-site or regional HR support experience strongly preferred
- Experience with unions is a plus
- HR certification (e.g., PHR, SPHR, SHRM-CP, SHRM-SCP) is a plus
