Purpose
To provide quality property management services while efficiently supervising, organizing and coordinating park office operations and procedures in order to ensure organizational effectiveness and efficiency of a property. Performs related duties as assigned.

Essential Duties
Provide a full range of administrative and supervisory duties including, but not limited to:
- Ensure the property is covered 24 hours a day, 365 days a year, by someone (in the event the Maintenance Manager cannot cover the property either) who is knowledgeable of Employer emergency procedures, vendors to contact and location of all Community utility systems. Must be ON CALL for emergencies by cell phone. Please read and acknowledge Newport Pacific Capital Co.s ON CALL POLICY.
- Provide excellent tenant service and maintain community relations. Respond to resident/tenant/unit owners requests and complaints in a timely and courteous manner. Follow-up to ensure satisfactory resolution of issues.
- Conduct periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property.
- Generate work orders directed to vendors or maintenance staff.
- Ensure that property and lease files are properly maintained and kept up to date in accordance with Company policy. Prepare and maintain appropriate tenant lease files, records, correspondence and file notes.
- Keep scheduled office hours.
- Distribute rent statements, newsletters and notices. Collect monthly rents, late fees and NSF charges. Prepare rent rolls for corporate office and park billing. Make bank deposits at the end of each rent collection day.
- Prepare and serve all legal notices, e.g. 3 & 60-day intents, small claims court actions.
- Keep a log of all complaints and incidents.
- Market community vacancies and ensure vacancies are prepared for occupancy in a timely manner.
- Screen all new resident applicants.
- Administer tenant occupancy including providing the new tenant with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures.
- Enforce terms of the rental or lease agreement.
- Prepare all administrative reports (e.g. traffic, delinquency, market surveys, rent increases, new move-ins, move-outs, evictions, vacancy, etc.) on approved Community forms and submit to corporate office.
- Maintain petty cash fund. Submit Petty Cash Recap report with receipts to corporate office weekly.

Enforce community rules & regulations.
- Responsible for enforcement of safety, health and aesthetics violations; issuance
of Friendly Reminders, e.g. 7 day and 14-day notices.
- Be familiar with, understand, and comply with all laws and regulations relating to management and operation of the property.
- Advise Regional Manager of any issues to ensure orderly and efficient operations.

Job Duties
- Maintain telephone reception at park office.
- Maintain inventory of supplies and materials (e.g. forms, stationary, stamps, etc.) for the purpose of ensuring items availability.
- Maintain office equipment.
- Ensure protection of files and records.
- Authorize, confirm, and approve employee hours worked daily. Submit timesheets to corporate office on the designated date for payroll processing.
- Review and approve mileage expenses. Submit reports to corporate office monthly.
- Process paperwork on invoice approvals.
- Track home sales and stay informed of local rent/home sale rates by preparing market surveys.
- Organize park-sponsored functions.
- Prepare and maintain a variety of records and reports related to projects, employees and assigned activities.
- Ensure current maintenance of all workers safety logs.
- Assist writing lot inspection notices and letters for violations. Assist with lot inspection re-checks and the monitoring of parking/guest violations.
- Assist Maintenance personnel with maintenance of Emergency Operating Manual for park.
Employee Relations essential duties for exempt classification
- Conduct pre-employment and termination interviews.
- Train park personnel to be successful employees, including compliance with company policies and procedures.
- Hire, manage, develop, evaluate, counsel, and discharge employees.
- Supervise on-site staff.

Work Experience
- Administrative experience working in a customer-focused environment
- Property Management industry and/or professional expertise
Education
- High school diploma or equivalent; appropriate work experience considered
Physical Work Demands
- While performing the duties of this job, the employee is required to frequently inspect the community and may be exposed to various weather conditions.
- Sitting and working at a computer keyboard for extended periods of time
- Significant fine finger dexterity
- Some stooping, kneeling, bending at the waist, reaching, pushing and/or pulling on a daily basis
- Able to lift up to 10 pounds occasionally

Travel
