Title: Tenant Liaison
Classification: Full-time (Non-Exempt), Temporary (April through August)
Reports to: Director of Preservation
Job Summary: The Newport Restoration Foundation is seeking a customer-service oriented Tenant Liaison to manage approximately 75 residential and commercial leases. The Tenant Liaison will work out of NRF’s headquarters (680 Bellevue Avenue), where they’ll be part of a friendly, close-knit team. The Tenant Liaison will serve as the first point of contact for tenants, prospects, and neighbors.
Salary Range: $24-$26.50/hour (40 hours per week)

Responsibilities include, but are not limited to, the following:
Property Management
- Update and maintain rental policies and procedures to ensure organizational efficiency and adherence to best practices in property management. This will include researching and applying relevant RI rental laws and fair housing.
- Cultivate positive tenant relationships and assist with tenant newsletters and tenant events.
- Record, track, and manage tenant work order requests. This will include working with the Property Care Manager, subcontractors, and vendors to ensure the work is scheduled and completed in a timely manner.
- Prepare and distribute tenant notices as needed, such as storm window schedules, parking pass renewals, and weather-related notices.
- Maintain a list of vacancies and, working with the Property Care Manager, schedule turnovers.
- Assist in the marketing of available properties.
- Manage tenant move-ins and move-outs. For new tenants, this will include preparing leases and educating new tenants about NRF’s mission, policies, and procedures. For tenants moving out, this will include coordinating and performing walkthroughs in conjunction with the Property Care Manager.
- Maintain tenant files, which will include monitoring lease expirations, preparing lease renewals, communicating rent increases, managing change order forms, and obtaining updated renters’ insurance.
- Input and manage tenant and property data in property management software.
- Function as a day-to-day liaison with various third parties as needed for the efficient management of the rental properties such as City of Newport, subcontractors, etc.
- Maintain an up-to-date inventory of property keys and codes.
- Assist with other duties as assigned by the Director of Preservation.
Administrative
- Monitor and purchase housekeeping and office supplies for NRF headquarters.
- Assist in various administrative tasks as requested by the Director of Preservation, Chief Financial and Operating Officer, and/or Director of Audience Engagement.
Required Skills:
· Associate’s or Bachelor’s degree.
· Proficiency with Microsoft Office Suite.
· Proclivity for technology that lends itself to learning new software as needed.
· Ability to take photographs and use a digital camera.
· Customer service experience, including strong interpersonal and communication (written and verbal) skills.
· Detail-oriented with strong organizational skills.
· Confidence in upholding policies and procedures even when under pressure.
· Ability to maintain confidentiality, as needed.
· Independent problem solver and effective at conflict resolution.
· Capable of taking initiative as well as working as part of a team.
· Possesses a valid state-issued driver’s license and dependable car.
Desired (but not required) Skills:
· One or more years of experience working as a property manager or at a leasing office.
· Familiarity with Propertyware or similar property management software.
