We are looking for an Executive Assistant to provide high-level support to senior management, coordinating outreach and external relations. The ideal candidate is an effective communicator, highly organized, and capable of managing multiple priorities with precision and a commitment to excellence.
What you will do
- Provide high-level administrative support, managing day-to-day activities, prioritizing calendars, and resolving issues as they arise.
- Track and manage project deadlines and deliverables, ensuring cross-team coordination and timely completion of tasks.
- Contribute to the development and execution of policies and procedures related to administrative functions.
- Lead logistics for staff and employee meetings, special events, and workshops—creating agendas, managing travel arrangements, and preparing meeting materials.
- Handle sensitive C-level matters with discretion, confidentiality, and sound judgment.
- Collaborate with stakeholders both internally and externally to ensure smooth communication.
- Manage administrative tools and processes, including overseeing IT-related tasks.
- Assist in preparing and reviewing financial documents such as budgets, invoices, and procurement processes to maintain operational efficiency.
- Use strong organizational skills to manage scheduling, follow-up, triage, and decision-making, ensuring efficient workflows.
- Drive the creation of strategic documents, high-impact presentations, insightful reports, and polished communications.
You will bring.
- Proven ability to navigate ambiguity and work independently to achieve objectives and meet deadlines.
- At least 4 years of corporate experience, with a minimum of 2 years as an Executive Administrative Assistant, preferably in a large, international organization.
- Experience managing time zones and scheduling across multiple time zones.
- Excellent written and verbal communication skills.
- Exceptional organizational and project management abilities.
- Flexibility to work during non-traditional hours when needed.
- Outstanding problem-solving skills and ability to anticipate and address shifting priorities.
- High degree of professionalism when interacting with senior executives, staff, customers, and community leaders.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Advanced proficiency in Google Suite.
