REPORTS TO: CHIEF MAGISTRATE
JOB SUMMARY:
Provides a wide range of routine to complex clerical, administrative, data entry and record control duties
for various Magistrate Court operations to process, record and maintain court related documents,
records, and payments. Positions in this classification may be designated as Deputy Court Clerks in
accordance with laws affecting the court to which the position is assigned.
ESSENTIAL JOB FUNCTIONS: (All responsibilities may not be performed by all incumbents.)
Answers phone calls, takes messages, routes calls and assists the public with information relating
to assigned court or any other resources within the County.
Enters a variety of routine to complex information using computer terminal or personal computer.
Pulls files and assists Judge in obtaining information.
Receives, logs, scans for completeness and accuracy, and records various legal documents.
Organizes, maintains, and updates various filing systems; including retrieval and replacement of
files quickly, as requested by the public and other office personnel.
Ensures service of process has been made on all parties as required by Georgia law.
Schedules court dates and send notices to the parties as required by law.
Attends court, assisting the judge with any matter that may arise during hearings or trials.
Prepares orders for the judge’s signature.
Copies various documents.
Performs other related duties as assigned.

MINIMUM QUALIFICATIONS REQUIRED:
High School diploma or GED; and,
One to two years of experience in the court system or a law office, with a preference for candidates who
have attended or participated in court hearings
Any combination of education, training and experience which provides the required knowledge, skills,
and abilities to perform the essential functions of the job.
Licenses and Certifications:
Notary Public or ability to obtain Notary Public.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of:
Operations, procedures, and policies of the court system.
General office procedures, policies and practices, as well as basic knowledge of the use of
computer terminal, personal computer and other general office equipment.
Recordkeeping, report preparation, filing methods and records management techniques.
Correct English usage, including spelling, grammar, punctuation, and vocabulary.
Applicable state, federal and local laws, rules and regulations.
Standard business arithmetic, including percentages and decimals.
Computer applications related to the work.
Skill In:
Operating complex computer personal programs via a microcomputer or via computer terminal
or personal computer.
Typing at a minimum rate of 45 WPM.
Using tact, discretion, initiative and independent judgment within established guidelines.
Organizing work, setting priorities, meeting critical deadlines, and following up assignments with
a minimum of direction.
Analyzing and resolving office administrative situations and problems.
Applying logical thinking to solve problems or accomplish tasks; understanding, interpreting
and communicating complicated policies, procedures and protocols.
Communicating clearly and effectively, orally and in writing.
Mental and Physical Abilities to:
Perform basic mathematical calculations.
Compose routine correspondence.
While performing the essential functions of this job the employee is frequently required to sit, stand,
walk, use hands to finger, handle, or feel, and talk or hear.
Work with details and maintain an extremely high degree of accuracy.
Maintain a courteous and tactful presence under stressful situations.
While performing the essential functions of this job the employee is occasionally required to lift
and/or move up to 10 pounds.
Working Conditions:
Work is performed in a normal office environment with little or no exposure to outdoor temperatures or
dirt and dust.
The incumbent's working conditions are typically moderately quiet.
