Job Summary:
We are seeking a highly motivated, organized, and compassionate individual to join our team as a Patient Advocate & Office Manager. This dual role is crucial to the success of our practice, combining the responsibilities of ensuring smooth daily operations with providing exceptional patient support and advocacy. The ideal candidate will be a proactive problem-solver, possess excellent communication skills, and have a strong understanding of the healthcare environment, particularly in the field of regenerative medicine.
Responsibilities:
Patient Advocacy/Medical Assistant:
- Serve as the primary point of contact for patients, addressing their inquiries, concerns, and needs with empathy and professionalism.
- Guide patients through the treatment process, from initial consultation to post-treatment follow-up.
- Educate patients about PRP, neuropathy, A2M, and other services, ensuring they have a clear understanding of their treatment options.
- Take and record vital signs, draw blood samples, and collect patient history
- Advocate for patients' needs and preferences within the practice, ensuring their voices are heard and respected.
- Assist patients with scheduling appointments, understanding billing and insurance, and navigating any challenges they may encounter.
- Proactively follow up with patients to ensure satisfaction and address any post-treatment concerns.
- Collect and manage patient testimonials and feedback to improve service quality.
- Maintain strict patient confidentiality in accordance with HIPAA guidelines.
Office Management:
- Oversee the daily operations of the clinic, ensuring a smooth and efficient workflow.
- Manage patient scheduling and appointments using EMR system.
- Handle billing, invoicing, and payment processing using QuickBooks Online.
- Manage office supplies, inventory, and vendor relationships.
- Maintain accurate and organized patient records within the EMR system.
- Assist with the development and implementation of office policies and procedures.
- Coordinate with medical staff to ensure seamless patient care.
- Supervise and support other administrative staff, if applicable.
- Manage incoming and outgoing communications (phone calls, emails, mail).
- Assist with marketing and outreach initiatives to promote the practice and its services.
- Ensure the clinic maintains a clean, organized, and welcoming environment for patients.
Qualifications:
- Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred.
- Minimum of 2-5 years of experience in a medical office setting, with a strong preference for experience in a clinic specializing in regenerative medicine or pain management.
- Proficiency in using Electronic Medical Records (EMR) systems; experience with Zenoti is highly desirable.
- Strong knowledge of medical billing and coding practices, and experience with QuickBooks Online.
- Excellent communication, interpersonal, and customer service skills.
- Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Strong problem-solving and decision-making abilities.
- Compassionate and empathetic approach to patient care.
- Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality.
Availability - Monday, Wednesday and Friday, 8AM to 4 PM
Job Type: Part-time
Pay: $18.00 - $25.00 per hour
Expected hours: 16 – 24 per week
